This position will be responsible for a broad range of executive administrative support duties for a senior member of Visa People Team. The successful candidate must possess the ability to stay several steps ahead and anticipating the needs of an extremely busy executive. We are looking for someone who takes great pride in being an Executive Assistant and who will serve as an ambassador for Visa and the People team.
Essential Functions
- Perform administrative support duties, including but not limited to drafting correspondence, preparing meeting materials and other documentation as requested
- Manage scheduling of staff and individual meetings, teleconferences, team off-sites, and other events
- Expertly manage travel bookings (both international and domestic) and submission of expense reports through expense systems
- Event planning including facilities coordination, catering, offsite venue research and booking, managing RSVPs
- Expertly prepare documents in Word, Excel, and PowerPoint. Proficiency in Microsoft Office is a must.
- Assist in onboarding new staff
- Manage multiple distribution lists, adding and removing as necessary
- Set up and manage team schedules for command center and support coverage
- Track and send reminders for training/events/compliance tasks
- Attend and capture notes and actions in meetings
- Find and organize training, both group and individual
- Management of shared team information and resources on intranet/portals
- Other administrative duties as may be assigned from time to time
This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office 2-3 set days a week (determined by leadership/site) with a general guidepost of being in the office 50% or more of the time based on business needs.

Basic Qualifications
- Must have a High School diploma or equivalent or relevant work experience
Preferred Qualifications
- 2 or more years of work experience
- Proven experience supporting senior leaders in a dynamic and fast-paced environment.
- Excellent leadership and professional presence with confidence and approachability.
- Experience in a global or multi-national company, working with team members in various locations.
- Ability to manage complex calendars across multiple time zones.
- Expertise in travel management, including international travel arrangements.
- Proficiency in expense management and relevant software tools.
- Strong organizational skills and ability to handle multiple tasks and priorities.
- Excellent communication and interpersonal skills for effective collaboration.
- High level of discretion and experience handling confidential or sensitive information.
- Proactive and resourceful with a problem-solving mindset.
- Commitment to fostering an inclusive and collaborative work environment.
- Advanced MS Office skills (Word, Outlook, Excel & PowerPoint) and technologically savvy.
- Self-starter able to work with little or no supervision.
- Ability to effectively respond to problem situations.
- Experience in managing team meetings, including scheduling, agenda preparation, and follow-up.
Additional Information
Work Hours: Varies upon the needs of the department.
Travel Requirements: This position requires travel 5-10% of the time.
Mental/Physical Requirements: This position will be performed in an office setting. The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

U.S. APPLICANTS ONLY: The estimated salary range for a new hire into this position is 74,400.00 to 105,250.00 USD per year, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity.
