Personal Assistance to GCM
- Answer incoming telephone calls for the Group Country Manager CIS&SEE, assisting with caller enquiries where possible. To take clear and concise messages and pass on to the relevant parties in a timely manner. To ensure adequate telephone cover during absence of the GCM CIS&SEE.
- Assemble and provide administrative support to members of the Sales department.
- Organize the daily schedule for the Head of the GCM CIS&SEE to ensure the most effective use time. Ensure all internal and external meeting requirements are met.
- Sort, prioritise and where possible delegate and distribute GCM CIS&SEE incoming mail in a timely manner, ensuring that urgent matters are dealt with in the absence of department members. To redirect misdirected mail.
- Book and co-ordinate travel arrangements within tight deadlines for the GCM CIS&SEE. Compile itineraries and liaise with regional offices to ensure business trips run smoothly.
- Prepare correspondence, documents and presentation materials. Drafting of correspondence if necessary, and ensuring response is sent in a timely manner.
- Provide documents and files to the GCM CIS&SEE in preparation for meetings.
- Ensure the smooth circulation of all internal communications sent on behalf of the GCM CIS&SEE.
- Provide a comprehensive secretarial service to GCM CIS&SEE through the typing of letters, memos, reports and presentations which require a professional end product at all times.
- Handle expense claims for GCM CIS&SEE and potentially other key members of staff.
- Set up and ensure regular Direct Report meetings, by assisting the RMs with reserving desks and coordinating network connectivity requirements.
- Actively contribute to the effectiveness of Business Development by supporting and co-operating with colleagues and providing cover during periods of absence
- Liaison with Leadership and International staff on a daily basis and extensive liaison with other departments within Visa
- Provide assistance to the GCM CIS&SEE with private and confidential, and personal arrangements, if required
Assistance to Executive Leadership team (VPs and SVPs)
- Coordinate travel arrangements within tight deadlines for Regional VPs, SVPs. Compile itineraries and liaise with regional offices to ensure business trips run smoothly.
- Handle expense claims for VPs, SVPs and potentially other Leadership team members
- Assemble and provide administrative support to VPs of the Region or other SVP Visa Inc depending on business necessity and company requirements.
Liaising and Coordinating
- Co-ordinate with other Visa departments in order to successfully implement various activities across the business
- Work closely with all business functions internally and co-ordinate appropriate meetings with clients and information management
- Raise purchase requisitions and purchase orders and ensure swift payment of invoices
Events Management
- Plan, organize and execute large scale external and internal events in the relevant markets in close partnership with CISSEE Events Manager
- Manage budgeting, costing and coordination with internal event management department.
- Be highly involved in site selection, hotel negotiations, contracting, program planning and development, vendor selection, research, registration, program implementation and onsite management.
- Offer guidance, creative solutions and assistance to various Visa departments on all aspects of meetings management.
- Be able to facilitate domestic and international meeting programs, as required.
- Possess strong understanding of how events compliment a brand align with the overall marketing & communications strategy of a global organization.
Ad hoc project/research
- Complete ad hoc project/research and presentation work and other relevant initiatives as requested by the management
General
- Ensure all CEMEA departments are fully informed of actions that may affect them, support their objectives and business plans and seek to resolve conflicts which might occur.
- Actively contribute to the development of the team through sharing of information, coaching and support.
- Establish, maintain and develop good relationships with CEMEA colleagues, staff in Worldwide Services and other regions to ensure that global initiatives and best practice throughout Visa are effectively introduced across CEMEA.
This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office 2-3 set days a week (determined by leadership/site), with a general guidepost of being in the office 50% or more of the time based on business needs.
Qualifications
Basic Qualifications
•2 or more years of work experience with a Bachelor’s Degree or an Advanced Degree (e.g. Masters, MBA, JD, MD, or PhD)
Preferred Qualifications
•3 or more years of work experience with a Bachelor’s Degree or more than 2 years of work experience with an Advanced Degree (e.g. Masters, MBA, JD, MD)
• Bachelor’s degree, preferably in a business related field
• Prior work experience in a large organization with complex corporate environment
• Experience in working with / supporting senior executives
• Strong communication and influencing skills at all levels with all stakeholders
• Exceptional multitasking skills
• Innovative and creative thinker
• Must have worked in an international environment, familiarity with culture and values is of paramount importance
• Multicultural sensitivity and interpersonal relationship management skills are essential
• Must be comfortable working in a fast paced, hands-on, growth orientated work environment
• Must be self-confident and able to think on their feet
• Strong personal motivation and commitment
