As an Executive Assistant, you will be responsible to perform advanced, diversified and confidential secretarial and administrative duties for Director(s) and/or Vice President(s) in the Apparel Solutions Leadership Team (ASLT). The majority of your time will be spent supporting leaders based in Dallas, TX, as well as supporting office administrative needs and the orchestration of meetings and events in the office.
Your responsibilities will include:
- Organize & maintain multiple calendars, maintain correspondence and records, schedule appointments/meetings, resolve conflicts while working independently, with guidance in only the most complex situations
- Plan extensive global travel, coordinate with global peers, manage itineraries, and complete necessary arrangements for visa/COVID requirements & passport processing
- Maintain highly confidential documentation and files on a daily basis
- Assist with global video/conference calls through effective meeting preparation and capture notes/actions as needed, managed through Docs on Google Drive
- Communicate widely across the global organization and coordinate initiatives with regional and operational staff on behalf of the executives
- Process, track and approve expenses for staff across the organization through Concur platform
- Manage purchase orders through Oracle platform; enter POs, process invoices and track payments for vendors on behalf of the executives
- Coordinate office ordering and organization, plan all logistics for large meetings and visitor events and greet/host as needed
- Successfully accomplish ad hoc projects as provided by leadership
Qualifications
Education:
Diploma holder or above, preferably a Degree holder specialized in Business Administration or Business Management
Desired Skills & Experience:
The candidate should have strong attention to detail, ability to multi-task in a fast-paced environment, and be proactive and decisive with an intuition to prioritize workflow. Strong communication skills, team work ethic and time management skills are necessary for success.
- At least 10 years of experience of relevant administrative experiences, preferably supporting one or more senior executives in a sizeable multinational/global company
- Possess ability to work individually, as well as ability to collaborate in a group environment
- Excellent research, organizational and project coordination skills
- Solid experience in coordinating travel arrangement and meetings on a regional scope
- Excellent time-management skills, ability to prioritize and juggle multiple priorities
- Strong analytical skills, e.g. data compilation and analysis
- Excellent written and verbal communication; correct spelling and grammar is necessary
- Strong interpersonal skills, good common sense, and the ability to perform tasks with initiative and follow-through
- High proficiency in Google platform (Mail, Sheets, Slides, Calendar, Chrome, etc.) and Microsoft office suite
- Strong attention to detail, time-management skills and ability to perform tasks with initiative and follow-through
- Natural affinity for serving others and bias towards action and excellence
- Flexibility to perform ad hoc/urgent task after hours (if required)
