The Executive Assistant will report directly to the Chief of Staff to the General Counsel. The role has administrative responsibility for the Moody’s Corporation (MCO) Board of Directors, including support for board members in a variety of high-level administrative functions as described below. This individual is expected to provide efficient and proactive full administrative support. This role requires excellent communication skills, willingness to learn, strong attention to detail, and the ability to multi-task in a fast-paced environment.
Projects & Initiatives:
• Responsible for all MCO Board Meeting logistics, including:
o Schedule virtual and in-person meetings and handle all related communications with MCO board members and Executive Leadership Team (ELT)
o Manage the board web portal (training to be provided); use the portal to post and archive board-meeting materials, and provide attendees with itineraries prepared by the Corporate Secretary and track attendance
o Coordinate with conference center managers and audio/visual teams to reserve and set up physical meeting rooms in New York office
o Make all ground travel arrangements and prepare ground travel itineraries for directors using online reservation service
o Assist with board dinners (e.g., research venues, request menus and florals, and arrange seating cards), with guidance from Corporate Secretary
o Process director expenses for reimbursement
o Lead the on-boarding process for new directors by coordinating with various teams within Moody’s, including the Finance and People teams
o Handle details that are time-sensitive and highly confidential and critical in nature — exercise confidentiality, tact and diplomacy
• Manage the compensation process for directors of MCO and Moody’s Investors Service (MIS)
o Work with Payroll to complete quarterly fee-payment templates; create service requests on Fidelity's Plan Sponsor website
o At direction of Corporate and Assistant Secretaries, help prepare SEC Forms 3, 4 and 5 and draft related email notices; generate Plan Sponsor statements and assist in drafting appendices to MCO Directors’ & Officers’ Questionnaires for each MCO director and officer
o Prepare 1099 worksheets and organize back-up documentation and submit to Accounting Department

• Advanced working knowledge of Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint and SharePoint and knowledge of collaborative tools; experience with Nasdaq BoardVantage a plus
• Client oriented with strong attention to detail and organizational skills, including time management and the ability to multi-task, shift priorities and work under pressure
• Ability to think outside the box, anticipate needs and work proactively to address them
• Self-starter with ability to work independently or as part of a team
• Exceptional interpersonal skills a must
• High level of trust and demonstrated ability to work with highly sensitive, confidential data
• Administrative knowledge of handling Board processes and procedures
• Willingness to work “non-standard” hours given the global nature of Moody’s business

For US-based roles only: the anticipated hiring base salary range for this position is $90,000 to $130,500, depending on factors such as experience, education, level, skills, and location. This range is based on a full-time position. In addition to base salary, this role is eligible for incentive compensation. Moody’s also offers a competitive benefits package, including not but limited to medical, dental, vision, parental leave, paid time off, a 401(k) plan with employee and company contribution opportunities, life, disability, and accident insurance, a discounted employee stock purchase plan, and tuition reimbursement.
