The General Counsel’s Office (GCO) is the in-house legal department for American Express. The London GCO is the central headquarters for the Europe, Middle East and Africa (EMEA region) and consists of approximately 75 lawyers, legal staff and contractors plus 6 EA's.
The role will provide key support to a Group Counsel, who leads the Global Legal Policy & Strategy team, which is comprised of 20 permanent staff (Locations, London, Germany, Spain, Argentina, Brazil and Singapore). The role will involve supporting other VP’s and team members in the GCO as well.
Job Responsibilities
- Extensive complex calendar and meeting management, involving coordination with multiple parties and across varied time zones.
- Review and submit monthly expense reports
- Extensive travel planning and support for leader's trips across the globe
- Handle highly confidential and sensitive information with the utmost discretion
- Manage multiple tasks within short time frames and with minimal supervision
- Support administration of Enterprise processes for which leader is responsible (e.g. talent reviews, staff planning, mid/year-end processes).
- Support other ad-hoc projects and initiatives in support of the smooth running of the Group Counsel's Office.
- Continually learn and act as knowledge resource for company administrative processes and policies.
- Preparation of meetings with senior executives (e.g. documents, video conferencing and other logistics)
- Produce presentations using draft content from leader and others
- Occasionally supporting senior executives visiting from abroad or as needed, VP + GCO leaders in London in the event of temporary staffing gaps
Key skills and experience
- Significant previous experience as an Executive Assistance to a senior leader supporting senior-level executives
- Ability to work well in a dynamic and fast-paced organization while maintaining professionalism and composure at all times
- High level of integrity and professionalism
- Demonstrated ability to handle highly confidential and sensitive information with the utmost discretion
- Excellent organisational skills with a strong focus on attention to detail and flawless execution
- Time management skills: managing multiple tasks within short time frames and with minimal supervision
- Excellent written and verbal communication skills (email, phone, in person) strong interpersonal skills
- Existing proficiency in Microsoft Office software products including Internet, Outlook, Word, Excel and PowerPoint
- Develop proficiency in internal systems including Concur, and Legal Tracker
- Develop proficiency in CPC management and familiarity with Oracle reconciliation process.
- Good standard in GCSE English & Maths or equivalent
- Familiarity with domestic and international travel, and awareness of issues to be provided for when compiling itineraries
- Ability to multi-task and flexibility to re-prioritize in a changing and fast paced environment
- Conduct self in a courteous, helpful and professional manner as a representative of the GCO
- Ability to work effectively and flexibly with others and to build trusting relationships across the company
- Strong team collaboration skills and spirit whilst working closely with other EA's in the department all of whom support and cover each other
- Can do attitude: identify opportunities to add value to the wider team.
