Overview:

 

We are looking for a well-organized, motivated team-player to join our Southwest team. Reporting to the Zone Contract Supervisor, this position supports a busy leadership team with contract review and management, administration, documentation, scheduling, financial expense support, meeting coordination, minute taking, and special projects. Person must be located near a branch office. Some locations include Irving, Houston, Austin, Denver, Las Vegas, Tempe. Salt Lake City, San Antonio. Must be able to come to the office three (3) days a week.

 

This role requires great skills in communication and prioritization to appropriately manage a wide variety of functions required to keep our busy team operating successfully.

Responsibilities:

  • Contract Review, document management, insurance processing .
  • Organize and prioritize large volumes of information and communication.
  • This position will cover contract in more than one office location.
  • Communication with branch general managers and sales executives is required.
  • Field and answer all business-related questions as it pertains to contracts, seeking assistance from subject matter experts from within and outside of our branch/zone as necessary.
  • Work on special projects.
  • Organize and maintain shared drives to assure efficiency and coordination of data when needed.
  • Prepare and design, addendums,   Proofread contract for spelling, grammar, and layout, making appropriate changes so that that the final copy is accurate and clear.
  • Review and adjust based on Siemens guidance and business guidelines.
  • Support the leadership team with the proficient use of software and systems as needed.
  • Demonstrate excellent project- and time-management skills to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Use interpersonal and communication skills to build relationships with stakeholders.
  • Utilize their strong problem solving and planning skills.
  • Work flexible hours as needed to accomplish tasks.
  • Work well in a highly matrixed organization, and with managers and employees of all levels to advising on, gather, prepare and vet material in a poised and tactful manner.

 

Required Knowledge/Skills, Education, and Experience:


  • Required education: High school diploma, state-recognized GED, or state recognized high school proficiency exam.
  • Required experience: Successful experience providing the type of administrative support needed by our branch.
  • Required travel: 5%
  • Required excellent verbal and written communication skills in English.
  • Other requirements:
    • Proficiency with MS Office suite and the aptitude to quickly master additional software programs related to administrative support.
    • Ability to work in the U.S. without a need for current or future sponsorship
    • Ability to read and write in english profienctly .

 Preferred Knowledge/Skills, Education, and Experience:


  • Preferred education: Bachelor’s degree
  • Paralegal experience
  • Must be willingly to obtain notary within 6 months of hiring
