Summary:

The Office Specialist is responsible for coordinating and managing the front desk, associate experience areas and providing administrative support.

 

Responsibilities:

  • Execute the day-to-day administrative processes of the lobby/front desk area. 
  • Greet, assist, and direct all visitors in the office.  
  • Answer, screen, and forward incoming phone calls. 
  • Open incoming mail, and arrange shipping outgoing packages.  
  • Responsible for filing and organizing employee onboarding paperwork; build new hire packets and assemble new hire gifts. 
  • Provide administrative and clerical support to the HR Business Partner(s). 
  • Assist with coordinating sympathy meals for employees pertaining to bereavement and other various grievances.  
  • Maintain relationships with vendors, and reconcile invoices. 
  • Monitor workroom and shared employee areas to ensure cleanliness and availability of supplies. 
  • Plan or otherwise assist with celebrations, quarterly luncheons, events, and other company-wide activities 
  • Actively participate on the Coordinator’s TEAm; maintain records in accordance with document retention policy. 
  • Create functional calendar that consists of all associate milestones.  
  • Uphold and participate in all Corporate Responsibility programming including recycling, social advocacy, and MMAD volunteering opportunities.  
  • This position has responsibilities essential to Food Safety.  
  • Other responsibilities, as necessary.  

Qualifications:

  • High school diploma or GED.
  • Experience in an administrative or office management capacity preferred.  
  • Strong process orientation and ability to organize and manage multiple priorities.
  • Superior interpersonal and communication skills with a demonstrated ability to effectively disseminate clear and useful information to a wide variety of audiences.
  • Excellent organizational skills and computer proficiency in MS Office required.
