Key Responsibilities 

  • Work independently and serve as a key team contributor for special nonrecurring and ongoing projects including time sensitive and practice area specific projects.  

  • Support practice area on multiple day-today responsibilities and administrative tasks with minimal supervision.  

  • Process administrative matters of low to medium risk and complexity for both internal and external parties.  

  • Applies core competencies in simple and routine situations and decision-making.  

  • Manage calendars, as well as schedules, and organize activities such as department calendars, meetings, travel, conferences and related activities across numerous sites. 

  • Access and manage the Escalation SharePoint and calendar.  Create and modify Escalation meetings and Pre-Escalation meetings.  Be knowledgeable in how to create the Escalation, where to find the form etc.  

  • Manage expenses.   

  • Assist with onboarding of new colleagues.   

  • Work in matter management and e-billing software. 

  • Take messages and field/answer routine and non-routine questions.  

  • Coordinate and answer correspondence and assemble highly confidential and sensitive information.   

  • Establish, develop, maintain and update electronic and paper filing systems for the department.  

  • Act as the department liaison among internal departments in overseeing information requests for historical documentation. 

  • Candidate will interact with a diverse group of external advisers, attorneys, regulatory professionals, consultants and visitors, as well as internal contacts at all levels of the Company.  

Qualifications & Experience 

  • Bachelor's Degree with 4 years’ of administrative work experience or 8 years of administrative work experience. 

  • 4+ years of work experience in a law firm, an in-house legal or regulatory department, a consulting firm, or comparable experience elsewhere. 

  • In-depth knowledge of Microsoft Office 365 including Outlook, Word, Excel, PowerPoint. 

  • Ability to lead independently and exercise good judgment in potentially difficult situations.  

  • High level of professionalism and ability to maintain absolute confidentiality.   

  • Ability to multi-task, be detail oriented, accurate, and act with a sense of urgency when needed.  

  • Excellent organizational skills to plan and prioritize a diversified workload and meet applicable deadlines on a timely basis  

  • The successful candidate should be a self-motivated, efficient team player.  

  • Candidate should demonstrate a capacity to develop new skills and learn new software applications. 

  • Present information clearly and effectively in written and verbal formats to multiple levels of internal and external audiences. Listen openly to other's point of view.
