We are currently looking for an Accounts Payable Specialist to join the Thales Avionics, a subsidiary of Thales USA team in Irvine, CA.

The Accounts Payable Specialist is responsible for all aspects of the Thales Accounts Payable process to include invoice entry (PO & NON PO, approvals and processing of assigned vendor invoices) and payment runs within complex ERP system. The position also maintains successful relationships with vendors and customers related to Accounts Payable operations.

Key Responsibilities:
  • Enters accounts payable invoices timely into accounting software program, ensuring invoices are properly coded and have necessary approval, ensuring all internal control policies are followed.
  • Acts as accounts payable interface with all departments/vendor contacts to ensure all internal control policies are followed.
  • Analyze A/P invoice issues within SAP and work with appropriate departments to clear blocking levels ensuring tall issues and follow-ups with vendors/team members are completed in a timely manner.
  • Initiates payments to vendors through check run, wire and ACH payments to ensure timely payment of vendors in accordance with internal control policies.
  • Responsible for monthly intercompany payment netting.
  • Assist with 1099 preparation
  • Ensures all A/P invoices are filed in a timely manner.
  • Accomplishes accounting and organization mission by completing related activities as needed.
  • Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
  • Supports accounting and financial questions by researching and interpreting data.
  • Protects organization's value by keeping information confidential.
  • Supports preparation of documentation for internal and external auditors.
  • Provides financial status information by assisting with preparing special reports and assisting with completing special projects.
  • Maintains accounting controls by following policies and procedures; complying with federal, state, and local financial legal requirements.
  • Assists in implementation of various tools and processes as required.
  • Assists with reconciling financial discrepancies by collecting and analyzing account information.
  • Enhances department reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
Skills and Experience:
  • Associate’s in Accounting or high school diploma with additional experience
  • 3+ years work experience
  • SAP experience preferred
  • Solid knowledge of basic accounting
  • Ability to meet assigned deadlines
  • Highly detail oriented and organized in work
  • Ability to act and operate independently with minimal daily direction from manager to accomplish objectives
