The TechOps Procurement Analyst is responsible for coordinating tactical acquisitions of our most important technology assets. Working closely with internal stakeholders and external vendors, this role ensures the strategic and timely procurement of end-user equipment, data center equipment, and software services.
Managing the requisition life cycle: ordering, tracking, receiving, and invoice processing with external vendors and internal finance teams.
Working closely with the Finance Org to ensure timely vendor payment.
Coordinating activities involved with procuring IT equipment, including:
Workstations and desktops
Server racks and accessories
Monitors, keyboards, and peripherals
Data center supplies
Telecom services (Internet and VoIP)
Software license Management
Invoice review for Tech Ops Contracts
Liaising with vendors to obtain quotes and track lead times for all requisitions to ensure deadlines are met.
Processing purchase requests to optimize the combination of provider and price.
Manage the negotiation, review and renewal/cancellation of expiring contracts.
Working with vendors to reconcile discrepancies and reconciling inbound invoices, purchase orders, and delivered goods.
Supporting asset management efforts and related inventory activities.
Coordinating shipping, receiving and freight including scheduling, arranging pickups and deliveries, and preparing customs documentation.
Troubleshooting issues with suppliers regarding damage claims, rejections, losses, return of materials, over-shipments, cancellations, configuration changes, returns, and replacements.
General administrative duties, including contract management and renewal schedules.
Reviewing contract terms and ensuring accurate billing
Requirements of the position:
At least 2 years’ experience in IT operations or procurement in a technology-driven organization
Demonstrated negotiation, vendor and process management experience
Strong administrative, organizational and analytical skills
Solid written and verbal communication skills
An inherent sense of urgency and excellent time management skills
Strong technical acumen, including experience with MS Office Suite, Procurement and Invoicing Tools, Ticketing, and other Asset Management systems
Ability to thrive in fast-paced environment, manage and prioritize multiple requisitions, and taking ownership of initiatives
Knowledge of software license and contracting language requirements
Desired but not required:
Bachelors or Associates degree in Business or Technology
