We are looking to hire an experienced and energetic Executive Administrative Assistant to join the Office of the Executive Vice President of Corporate Strategy, Core Services Engineering and Operations. We are looking for a passionate, motivated team player, with a can-do attitude.  The candidate must have superior attention to detail, the ability to meet tight deadlines, great organizational skills, and the ability to juggle multiple critical requests with little to no guidance and without having to know the total picture.  A high level of discretion in handling confidential information, professionalism in dealing with senior professionals inside and outside the company. The candidate needs to be able to be comfortable with working “out in front” of the team as well as behind the scenes. You will also develop a deep knowledge of the broad business group and act as a cross-group information resource.  The Executive Business Administrator will work very closely with the Executive Assistant to the EVP.

Responsibilities

  • Manage day to day operations of the EVP office
  • Back up to the EVP calendar
  • Calendar and travel managements for GM, Corporate Strategy
  • Own the ongoing tracking of Corporate Strategy and CSEO related strategy projects
  • Assist with preparing and/or coordinating internal and external engagements for the EVP E2E
  • Assist with designing and implementing the Rhythm of the Business processes
  • Close cooperation and partnership with the Business Manager, admins, and LT members on projects
  • Proactively plan and manage logistics for team meetings such as All Hands, staff meeting, morale events, team off sites and Holiday Party
  • Assist with office space management for Corp Strategy
  • Assist with developing and coordinating the annual budget and headcount
  • Assist with streamlining policy across the org
  • Procurement of goods and services

Qualifications

  • 2 – 4 years of demonstrated relevant work experience in a fast-paced and complex environment
  • Experience with complex calendaring for director level or above 
  • Build and maintain effective working relationships and accommodate diverse working styles
  • Ability to adapt to daily challenges and rapid changes
  • High level of effective interpersonal skills and excellent customer service.
  • Superior organizational skills
  • Ability to organize and lead the admin community
  • Analytical thinking and keen eye for detail
  • Knowledge and proficiency with Microsoft products and internal systems including Outlook, Microsoft Office, Windows, MSS, HeadTrax, MyOrder, MSExpense preferred
  • The ability to self-direct and work independently, deal with ambiguity, and act with appropriate urgency and flexibility with a positive attitude
  • Must be able to maintain confidentiality and use discretion and judgment
  • Ability to see the big picture
  • Possess a good sense of humor and an ability to connect with people inside and outside the team
