Job Details

The Project Coordinator is responsible for ensuring our participants have an excellent experience while attending our Executive Education programs.  You will make sure the program logistics – from online meeting links to bedrooms – are organized and ready and own the communication with participants to provide all relevant information – from welcome pack to final certificate – throughout the program.

Your ability to be well organized and work closely with multiple Project Managers to work on different clients is key. You will also be expected to become proficient at our delivery technologies for online programs and to work efficiently on internal systems such as Salesforce and SmartSheet. Training (formal and on-the-job) will be provided during and after the onboarding period.

  • Owning for the participant journey from welcome pack to final certificate with your expert support on our program and personal touch.
  • Creating and organising excellent welcome packs, program portals and any program materials, together with your Project Manager and Program Director, according to the program timeline.
  • Running orientation calls to clarify expectations, answer questions and prepare participants for the program ahead.
  • Communicating and responding to participant queries in a timely, supportive and professional manner.
  • Liaising with Ashridge House (our main campus) to arrange any program logistics such as teaching room set up, accommodation, meals, and transport.
  • Hosting participants at Ashridge House to ensure the best program experience.
  • Working closely with Faculty and Technical Facilitator to get all technical elements of online programs ready such as meeting links and breakout rooms to ensure the most engaging and smooth program delivery.
  • Delivering excellent technical facilitation and troubleshooting for online programs.
  • Providing insights to program review meetings to identify improvement areas for future programs.

Skills required

  • Degree or equivalent and track record of good academic grades
  • Experience in customer service, understanding what it takes to create the best customer experience
  • Preferably, experience working with B2B clients but not necessary
  • Confident with technology such as Zoom, Microsoft Teams and preferably Salesforce
  • Excellent communicator and team player

Location and hybrid working

For this role our main office is at Ashridge House (https://www.ashridgehouse.org.uk/). This is an exceptional location but it does have logistical implications so please consider your potential commute before applying.

Currently we are working hybrid style meaning we are at Ashridge House on average three days a week. Remaining days the team is working from home or the office in London Chelsea. However, if your clients are on site at Ashridge, then you are on site, hence there could be weeks when you would travel out to site more often and weeks when you travel less. Beyond this we do team meetings at Ashridge House to keep the team together.
