POSITION: Operations Manager

COMPANY: Emily Utter

REPORTING TO: CEO, Emily Utter

STATUS: Part-Time Independent Contractor, roughly 20-25 hours per week

COMPENSATION: $3,500-$4,200 depending on experience

LOCATION: fully remote; PDT, MT, CT strongly preferred. Must be able to work PDT hours

ABOUT THE OBM/OPERATIONS MANAGER POSITION

Emily Utter is an international coaching company for adventurous souls. We work with coaches, healers, and other service-based entrepreneurs to successfully grow their online businesses. One part strategy and another part spiritual, our programs are designed to help coaches scale their businesses without sacrificing their lifestyles.

Emily is super excited to bring an OBM/Operations Manager on to her rapidly growing business. You will be Emily’s right hand working behind the scenes - making everything work and look seamless from the outside. This role requires strong technical acumen and experience in online business and launches. The successful candidate will have core competence in project management, systems + processes, team leadership, and hiring. This is a strategic and management level role as you will lead the team to implement, execute and drive projects through completion. The main goal is to reduce Emily’s time spent on daily operations (and all the things!) so she can have the space to teach, speak, create content, and coach.

This is a remote, Part-Time Independent Contractor position. PDT, MT, CT time zones are preferred, with the ability to work PDT hours. You should also have the flexibility to work nights/weekends during online events + launches (roughly 5-6 online events a year). We also plan to do in-person events/retreats/conferences when we are able to!

YOU’RE PERFECT FOR EMILY UTTER IF…

  • You have previously worked for coaches and understand the coaching industry and/or you’ve done project management and operations work for several years already.
  • You have previously managed all the pieces of a launch and being in launch mode energizes and excites you.
  • You are tech-savvy and can do (or quickly learn) the basics in Infusionsoft and LeadPages (we have a tech lead on the team but will need you to jump in as needed).
  • You are not overly sensitive; you don’t take things personally and understand that in a fast-paced environment you’re not always going to get a smiley emoji or a happy tone and you’re cool with that.
  • You are warm and friendly while being assertive and confident.
  • You are independent, self-motivated, and don't need a ton of direction.
  • You hold yourself to high standards and deliver excellent work.
  • You enjoy working for people with high standards.
  • You are obsessed with making your leader’s life easier, taking things off her plate, and nothing makes you happier than a job well done that moves the company forward.
  • You are a bit of a grammar nerd; you know the difference between your, you’re, and there, their, and they’re and it gives you the willies when you see people using apostrophes incorrectly.
  • You are an action taker; you have a strong sense of urgency and jump into projects quickly.
  • You are a practical person and see situations logically, not emotionally.
  • You have strong communication with your CEO and are highly responsive.

RESPONSIBILITIES

Project Management

  • Create detailed project plans; manage the day-to-day projects and see projects through completion
  • Manage all the pieces of projects, virtual events, and launches
  • Create systems and processes and lead the team to utilize these new systems
  • Streamline and create efficiencies in current processes
  • Track project status in Asana and provide detailed but succinct updates to Emily
  • Refine day-to-day operations with a high level of efficiency
  • Ensure that all operational processes are properly documented and that key information is organized, accessible, and secure


Team Management

  • Manage the distribution of work across the entire team
  • Manage team performance
  • Implement + lead weekly progress meetings

Leadership + Events

  • Plan and manage logistics of in-person events/retreats/conferences
  • Map out the next role(s) we need to hire for and manage the hiring process of new team members; create job descriptions, application questions, interview, onboard and train new hires
  • Establish policies + procedures that promote company culture and vision
  • Manage client agreements, payment tracking, etc.
  • Handle negotiations on Emily’s behalf

Tools we use

  • LeadPages: you know (or can figure out) the basics of editing, adding and removing buy buttons, etc.
  • Infusionsoft: you can edit copy, send + schedule emails as needed.
  • Voxer: ALL team communications with Emily happen on Voxer, so you should be comfortable using this on a daily basis.
  • Zoom
  • Google Suite
  • Typeform
  • Social Media savvy is a plus.
