People Operations Coordinator

The AppNexus People (Human Resources) team is adding multiple People Operations Coordinators to our team! People Operations Coordinators support the entire candidate to employee experience, from pre-hire through onboarding and beyond. In this role, you will have the opportunity to build high impact relationships with recruiters and hiring managers through seamless coordination and delivery of a best-in-class interview experience. After a candidate is hired, you’ll play a key role leading up to their first day by compiling onboarding details and documentation, updating our internal systems and liaising between the new hire and key internal partners across functions. You’ll welcome and greet new hires on their first day and guide them through new joiner orientation, ensuring a positive and productive first day experience.

About the job:

  • Manage the candidate interview experience
    • Schedule high volume of phone and in-person interviews globally within defined SLAs through Outlook and our Applicant Tracking System (ATS)
    • Plan and arrange candidate and interviewer travel as needed including processing candidate reimbursements
    • Provide an outstanding onsite interview experience, greeting candidates, providing office tours and managing the day of interview itinerary
    • Schedule interview debriefs and ensure timely collection of interview feedback forms
    • Proactively identify road blocks in current operations, lead improvement efforts alongside recruiting teams and leadership, to ensure that the candidate experience process and systems are as efficient as possible
    • Build and maintain strong relationships and excellent professional communication with candidates, recruiting colleagues, and AppNexus Hiring Managers to seamlessly execute the end-to-end process; attend hiring kick-offs and syncs as required
  • Manage pre-hire through first day new hire experience
    • Prepare and send Welcome Email to new hires to collect necessary onboarding documentation (e.g., I-9, EEO questionnaire, benefits enrollment forms)
    • Work with Learning and Development to build out training calendar and monitor new hire attendance, including coordination of AppNexus University and other onboarding programming
    • Coordinate appropriate candidate pre-employment background checks or credit checks if applicable
    • Submit visa request forms to immigration team for processing when applicable
    • Process new hire relocation requests as applicable
    • Organize and maintain personnel records and update internal HRIS systems as required
  • People operations and project execution
    • Answer employee questions about People-related issues and processing using internal ticketing system (Jira or Kace)
    • Maintain personnel records and documents
    • Post federal and state labor law signage in applicable locations
    • Support coordination of recruitment events, including signing up for events, procuring collateral and swag and managing event sign up and check in as needed
    • Manage, support, and/or participate in special projects or events as assigned by preparing presentations, updating project timelines, creating and updating deliverables, creating and updating status reports, creating and updating reference and training and self-service help materials.

About your skills and experience:

  • Passion for providing outstanding service to stakeholders and an ability to build and maintain strong relationships and rapport with all levels of the business
  • Ability to communicate in writing and orally in a professional and concise manner while handling confidential and sensitive information tactfully and appropriately
  • Knack for learning complex processes quickly and track record of operational excellence while managing competing priorities with excellent judgement
  • Flexibility with an ability to adapt to unique, in-the-moment challenges
  • Excellent organizational and analytical skills with strong attention to detail
  • Expertise with Microsoft Office Suite, including Outlook, PowerPoint, and Excel

Preferred experience and skills (if you don't have all of them, you can learn them at AppNexus!):

  • Previous experience Visio, Applicant Tracking Systems and / or Human Resources Information Systems a plus but not required
  • Bachelor’s degree or equivalent and 0-2 years of recruiting, HR, or similar high volume operational or administrative position
  • Project management and project coordination experience
  • Knowledge of Microsoft Office Products and MS Visio
