Provides administrative support to executive officers, the CEO or President. Requires in-depth knowledge of company operations, policies, and procedures. Handles details of a highly confidential and critical nature. Collects and prepares information for use in discussions/meetings of executive staff and outside individuals. Prepares presentation materials for board of director meetings. Makes high level contacts of a sensitive nature inside and outside the company. Works on problems of diverse scope where analysis of data requires evaluation of identifiable factors. Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions. Requires a professional certification or equivalent experience in working with senior level executives within and outside the company, as well as experience with customers, vendors, visitors, and other dignitaries.

About the role

This role requires high levels of discretion, integrity, good judgment, and professionalism in dealing with executives inside and outside of the company. The successful candidate must understand business priorities, demonstrate the ability to proactively anticipate needs, drive improvements, own and complete sophisticated tasks and projects quickly through AI enabled workflows and other mechanisms, respond with urgency and sound judgment in time-sensitive situations that require a quick turnaround, and proactively solve difficult or complex problems. Exceptional organizational and communication skills are a must.

Responsibilities include:

  • Provide top-level executive support while maintaining high levels of discretion, professionalism and judgment

  • Operate as a force multiplier for executives navigating high-growth, cross-functional environments

  • Partner closely with other EAs to coordinate cross-functional executive priorities, align on leadership rhythms, and ensure seamless execution across teams

  • Represent company and supported executives both internally and externally

  • Act as liaison with direct reports, other internal teams/organizations, and external partners

  • Own and handle complex executive calendars and scheduling requirements

  • Secure and manage travel arrangements, often including complex logistics

  • Plan, own and run both internal and external executive events and meetings (e.g., staff meeting agendas, all-hands meetings, off-sites, etc. including detailed logistics and meeting material preparation)

  • Design and implement processes across functions and offices to ensure clear communication, efficiency, and operational excellence

  • Manage/track administrative activities and help drive completion of key deliverables, including analyses, reports, write-ups, etc.

  • Own and manage expense reporting and reconciliation, records management, materials preparation, and other duties as required

  • Anticipate follow-ups and proactively manage upcoming needs

  • Provide support on special projects as needed; may be responsible for some programs

  • Build internal and external partnerships and coordinate work efforts across functions

  • Vet and prioritize a multitude of requests on behalf of the executive

  • May require 25% travel annually 

This role has been categorized as a Remote position. “Remote” employees do not have a permanent corporate office workplace and, instead, work from a physical location of their choice, which must be identified to the Company. U.S. employees may live in any of the 50 United States, with limited exceptions.In California, Connecticut, Maryland, Massachusetts, New Jersey, New York, Washington state, and Washington DC the standard base pay range for this role is $90,900.00 - $145,100.00 annually. This base pay range is specific to these locations and may not be applicable to other locations. In Colorado, Hawaii, Illinois, Minnesota, Nevada, Ohio, Rhode Island, and Vermont the standard base pay range for this role is $86,300.00 - $137,900.00 annually. The base pay range is specific to these locations and may not be applicable to other locations.In addition to a competitive base salary this position is also eligible for equity awards based on factors such as experience, performance and location. Actual amounts will vary depending on experience, performance and location. Employees in this role will not be paid below the salary threshold for exempt employees in the state where they reside.

Who you are

An established Executive Assistant with a minimum of 7+ years of experience, with at least 3-5 years providing direct support to executives and experience providing support in a remote environment. Experience in the technology sector is a plus. A highly motivated self-starter with high levels of discretion and good judgment, high performance standards, strong attention to detail, and initiative to take action.

Qualifications and Skills:

  • Established Executive Assistant with 7+ years of experience, including 3–5 years providing direct support to multiple senior-level executives simultaneously

  • Demonstrated ability to leverage digital tools, automation, and AI-enabled technologies to increase efficiency and enhance executive effectiveness

  • High level of discretion and judgment when handling confidential information

  • Excellent communication, organizational, and stakeholder management skills

  • Strong ability to anticipate needs, prioritize effectively, and manage multiple competing demands in a fast-paced remote environment

  • Ability to work independently while collaborating effectively and building strong working relationships

  • Demonstrated ability to identify and improve operational processes

  • Takes accountability for outcomes and actively seeks and applies constructive feedback

  • Proficient with technology including Google Workspace (Docs, Sheets, Slides), Zoom, Slack, and mobile tools

  • Must be able to provide support at minimum during the hours of 9am – 4pm PT

  • Bachelor’s degree preferred
