Editorial Operations Administrator, Reuters
Reuters is looking for a talented and experienced Editorial Operations Administrator to support our global centre in Barcelona, with the ability to take on broader responsibilities across the EMEA region. Ideally, you will bring experience from a news agency or a large media organisation.
You will have a proven track record as a team player and be a proactive self-starter with strong initiative. As a key member of the Europe Editorial Operations team, you will work closely with senior editors across video, pictures and text to to ensure the smooth planning and execution of administrative processes. Calm and resilient, you will be able to react quickly and efficiently to ensure the needs of our editorial teams on the ground are met. Highly organised, you will also contribute to projects that span multiple countries and languages.
This is a full-time role based in Barcelona, requiring an in-office presence of four days per week, and reporting to the Regional Administrator.
About the Role
As our Editorial Operations Administrator, you will be responsible for:
Supporting our editorial operations in their daily workflows by establishing and adhering to best practices
Owning, managing and updating editorial rosters
Managing the relationship with our staffing agency responsible for our contingent workforce
Handling the approval of timesheets
Providing support with vendor set-ups in close collaboration with the Global Ops Team
Working with vendors and the internal sourcing department and manage PO and receipting processes, as well as editorial invoices
Taking ownership of our inventory tool, ensuring accurate and up-to-date data
Managing subscriptions (TV, mobile phones, news feeds) and memberships, and sharing budget information with the relevant stakeholders
Managing our fleet of company vehicles (registration, license, fuel and insurance cards, car fines, management of damages, parking authorisation)
Ensuring new staff are onboarded into corporate systems, working closely with the IT department
Providing regular input on major events, including costs for your region
Offering ad-hoc support in a breaking news environment
Collaborating with senior editorial management and other departments (Facilities, HR, AP) across the company
Working with Facility Management on health & safety, maintenance, and business continuity
Scheduling calendar appointments (Outlook), meetings and group travel itineraries
Planning and coordinating team events and other on- and off-sire activities
Participating in training opportunities
Identifying opportunities for innovations to improve administrative workflows
Working closely with the wider Editorial Operations team and providing coverage during holiday periods
About You
To be one of our Editorial Operations Administrators, you will likely have:
Ability to work effectively in a highly complex and ambiguous environment
Excellent organizational skills, with experience in office administration, people management, and problem solving
Exceptional written, verbal, and interpersonal communication skills
Proficiency in Excel, advanced experience with other MS Office applications
Demonstrable experience in a relevant role
Fluency in written and spoken Spanish and English; knowledge of any additional language is an advantage
Strong ability and willingness to work with teams across different languages and geographies
Ability to work well under pressure and adapt to changing situations
Goal-oriented mindset to meet set objectives and deadlines
