We are looking for a highly collaborative, detail-oriented, and proactive Recruiting Coordinator (RC) to support the Executive TA team in the US. This high-visibility role will provide exceptional candidate engagement, interview scheduling, and overall coordination for Executive-level talent interviews at Visa. You will partner with Executive TA Researchers and Recruiters, and manage the entire candidate coordination lifecycle, ensuring an excellent candidate/stakeholder experience, managing data and systems, coordinating complex interview schedules, driving compliancy in each stage of the hiring process, and serving as a candidate concierge.
Strong communication skills and the ability to be a team player are key, as you will work closely with the Executive Recruiting team, business leaders, people operational teams, and candidates. Project management skills and the ability to anticipate changing priorities are essential. You will use existing talent acquisition tools and stay up to date on new tools and systems to enhance our processes. We seek a highly organized, tech-savvy, proactive, candidate-obsessed professional with excellent communication and relationship-building skills.
Responsibilities:
- Schedule virtual and on-site interviews for executive talent with our internal partners and their teams. While the majority of scheduling will be for US based positions, some searches require global coordination functions and regions.
- Deliver a first-class candidate experience by providing prompt follow-up, meticulously coordinating all aspects of the interview process, and maintaining exceptional communication with executive candidates throughout their journey.
- Serve as an in-person liaison for executive candidates when they visit our Foster City office.
- Operational duties include creating and updating executive requisitions in Workday, managing the clearance of conflict-of-interest forms, initiating and overseeing background checks, and collaborating closely with our internal preboarding partners to ensure successful onboarding of new hires before their start dates.
- Build and maintain relationships, becoming a trusted point of contact for our candidates, internal partners, and client group.
- Responsible for capturing accurate data on all active roles, as well as tracking candidates to ensure the Executive TA function’s files are up to date with correct information and documents. As a key part of the team, you will ensure compliance with Visa’s hiring standards.
- Support the management and distribution of confidential information for both internal and external prospective candidates, ensuring the highest level of discretion.
- Prepare high-quality internal reports, such as interview schedules, candidate feedback, progress updates, and other supporting materials, to share with relevant internal partners.
This is a hybrid position. Expectation of days in office will be confirmed by your hiring manager.
Qualifications
Basic Qualifications:
- 2 or more years of work experience with a Bachelor’s Degree or an Advanced Degree (e.g. Masters, MBA, JD, MD, or PhD).
Preferred Qualifications:
- 3 or more years of work experience with a Bachelor’s Degree or more than 2 years of work experience with an Advanced Degree (e.g. Masters, MBA, JD, MD).
- Excellent written, verbal, and presentation skills.
- Excellent interpersonal skills with the ability to build deep and trusted relationships at all levels across the business.
- Highly accurate with a strong attention to detail and excellent organizational / project management skills
- Ability to manage multiple projects simultaneously, prioritizing tasks to meet challenging deadlines while maintaining a commitment to quality, detail, and successfully achieving deliverables.
- Diplomatic, patient, and collaborative. A strategic partner who thrives in a fast-paced, deadline-driven environment and can effectively collaborate within a matrixed and geographically dispersed team.
- Conscientious with a rigorous self-starter mindset to ensure information output is outstanding, while also being a pragmatic and flexible problem solver.
- Ability to cope with ambiguity, builds trust to work independently while ensuring engagement as part of the global Executive Talent Acquisition team.
- Highly proficient in Outlook, PowerPoint, Word, and Excel.
- Experience working in Workday and SmartRecruiters is advantageous.
Additional Information
Work Hours: Varies upon the needs of the department.
Travel Requirements: This position requires travel 5-10% of the time.
Mental/Physical Requirements: This position will be performed in an office setting. The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

U.S. APPLICANTS ONLY: The estimated salary range for a new hire into this position is 102,600.00 to 145,150.00 USD per year, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity. Visa has a comprehensive benefits package for which this position may be eligible that includes Medical, Dental, Vision, 401 (k), FSA/HSA, Life Insurance, Paid Time Off, and Wellness Program.
