The team is seeking an Executive Assistant. The Executive Assistant will provide calendar management and meeting invites, expense management, travel arrangements, and other administrative functions, including general office workflow. In addition to providing direct support to senior management, the candidate will provide administrative support to additional team members.
The position is based in New York Office (1585 Broadway) and is a full-time, on site, position (this position is not remote). This position works in partnership with another on-site Executive Assistant based in San Francisco to cover the entire Expansion Capital team but will be primarily supporting the NY team.
Key Responsibilities:
- Calendar and Communication Management:
- Serve as the first point of contact for inbound and outbound communications, exercising discretion with sensitive information.
- Maintain executives' calendars, schedule meetings and conference calls, and manage meeting conflicts using Microsoft Outlook.
- Understand key clients and colleagues, take accurate messages, and stay informed of executives' whereabouts.
- Travel and Event Coordination:
- Arrange domestic and international travel, including flights, hotels, car services, and necessary travel documentation.
- Plan and organize internal events, including conference room reservations, multimedia support, and catering arrangements.
- Administrative Support:
- Prepare, submit, and monitor expense reports, ensuring accuracy and timely submission.
- Create, edit, and format documents using Microsoft Office Suite and Adobe Pro.
- Manage shared sites such as Microsoft Teams and SharePoint, and support onboarding/offboarding processes.
- Back-up coverage for admin. colleague(s) during planned or unplanned absences from the office
- Helping to review and prioritize incoming mail and taking appropriate action.
- Documentation Management
- Execution of legal documents to be signed by various Officers
- Operational and Project Assistance:
- Interface with various departments to collect information and respond to requests on behalf of managers.
- Working with portfolio company management and executive assistants to plan Board meetings, other committee meetings, and onsite meetings; ensuring optimal scheduling based on calendars of MDs involved with portfolio companies
- Assisting with all portfolio needs, documentation wise, distributing weekly team meeting, portfolio review materials and other pitch decks or materials related to companies
- Process invoices and create funding requests using internal platforms.
- Assist with ad hoc projects and provide backup coverage for other administrative assistants as needed.
Qualifications:
- Minimum of 4 years' experience in an Executive or Administrative Assistant role, preferably within the financial services industry.
- Bachelors degree preferred, or equivalent corporate experience.
- Proficiency in Microsoft Office Suite, especially PowerPoint, Excel, and Outlook.
- Strong communication, writing, judgment, and problem-solving skills.
- Ability to work independently, take initiative, use judgement, and manage multiple tasks concurrently in a fast-paced environment.
- Must work well with short deadlines and high priority deliverables
- High integrity and trainable is critical

Expected base pay rates for the role will be $80,000 - $100,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
