MICHELIN RACEWAY ROAD ATLANTA

Recognized as one of the world’s best road courses, Michelin Raceway Road Atlanta is a 2.54-mile road course situated in the rolling hills 35 minutes north of Atlanta. The multi-purpose facility hosts the 10-hour Petit Le Mans race that closes out the IMSA schedule and is the final of the four endurance races contested by the series. The track prides itself on a family-friendly atmosphere, with a “Kids 12 & Under Are Always Free” policy.

Summary
This role manages business-related tasks for the President, Director of Operations, and additional Michelin Raceway Road Atlanta staff while organizing and coordinating office administration and procedures.

Essential Duties and Responsibilities include the following.

Coordinate with the IT department on all office equipment to assist with telecom and network issues and maintain inventory logs

Partner with the HR department and Track President to organize and maintain office operations, policies, and procedures.

Provide administrative support for the Track President, Director of Operations, on coordination of daily calendars, travel itineraries, credential requests, etc.

Coordinate and track invoicing and post-event bills

Manage and control cash inventory on property and provide monthly reports

Manage the process for donation requests, process approved certificates, and coordinate delivery.

Manage property signage needs by working closely with Partnerships and Operations

Assist with Guest Services, Dispatch, Event Shuttles, and other Event Operations as needed.

Oversee the guest list, and distribute invitations, and passes for the President’s Patio during race events.

Order cash for spring and fall events

Uphold a strict level of confidentiality.

Other duties as assigned.

Qualifications

•     Proven experience as an Executive Assistant with additional experience managing an office environment is a must.

•     Proficiency in MS Office (MS Excel, Word, PowerPoint, and MS Outlook, in particular).

•     Excellent time management skills, attention to detail, and the ability to multi-task and prioritize work.

•     A proactive approach to problem-solving with strong decision-making skills.

•     Excellent written and verbal communication skills.

•     Strong organizational and planning skills in a fast-paced environment.

Education and/or Experience                                                   

Associate degree or equivalent from a two-year College is preferred or a minimum of three years related experience and/or training; or an equivalent combination of education and experience.

Language Skills                                                

Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical Skills                                                     

Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's.  Ability to perform these operations using units of American money and weight measurement, volume, and distance.

Reasoning Ability                                             

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.  Ability to deal with problems involving a few concrete variables in standardized situations.

Computer Skills                                               

Proficient on Company-provided hardware and software.

Other Qualifications                                                    

May require some evenings or weekends for events.

This position may handle cash or have access to credit card information – requires a credit check.
