Journalism
Reporting from the ground in more than 70 countries, our global news team covers the new frontier of human rights. From investigating slavery in supply chains, to the human impact of climate change, to how data-driven technology and AI are impacting people, we report on challenges affecting fundamental human rights and freedoms. Media Development

We do this through newsroom consultancy, journalism training and mentoring, capacity-building, and via our funding of the Reuters Institute for the Study of Journalism at the University of Oxford.
 

Free Legal Assistance (TrustLaw)
We run the world’s largest pro bono legal network, TrustLaw. Working with leading law firms, we facilitate free legal support, groundbreaking research and resources for NGOs and social enterprises in 175 countries. By spreading the practice of pro bono worldwide we strengthen civil society and drive social change. Our network has grown to 5,800 members, including more than 950 law firms and in-house legal teams.

We are seeking an Event Co-ordinator to support the planning and delivery of the organisation’s large-scale events and lead on the delivery of targeted, smaller-scale regional events throughout the year. Reporting to the Events Manager, this is an opportunity to land a hands-on role in a fast-growing corporate Foundation working on some of the world’s most pressing issues.

About the Role

As Event Co-ordinator at the Thomson Reuters Foundation, you will be supporting on the delivery of Trust Conference, as well as other key events throughout the year, with input and assistance from all relevant functions within the organisation. Your duties will include:

Event management

  • Working with new and existing suppliers to run events from conception to delivery (Catering, AV, printing and any other event collateral as required), including processing invoices for suppliers and contractors
  • Assisting with Speaker onboarding and liaison, including keeping records up to date with any speaker changes, tracking logistical requirements and sharing updates with internal and external stakeholders as needed
  • Booking flights, ground transportation and accommodation for speakers using the Foundation’s approved suppliers
  • Supporting the Events Manager with working with the Legal team to negotiate contracts, ensuring quality of service whilst keeping costs to a minimum
  • Scheduling meetings for internal and external stakeholders, taking minutes, and keeping track of action points and ensuring deadlines are met
  • Supporting management of event volunteers, as and when required
  • Supporting with the updating and tracking of event management documents and tools, including processing applications and issuing visa letters where required
  • Running ad hoc and weekly reports from Cvent (our event management system) for various cross-team activity  
  • Responding to delegate queries and requirements, and updating event management system and suppliers as required
  • Liaising with event exhibitors to manage their requirements and logistics
  • Managing logistical documents such as run sheets, event briefings and requirement documentation for the venue, suppliers and stakeholders
  • Travelling to and delivering ‘on the day’ running of major events (ie. Trust Conference) when required (at least 2 weeks in Oct or Nov each year)
  • Project managing logistics, speaker acquisition and content development for smaller scale regional events commissioned by the Foundation’s thought leadership teams
  • Provide logistics and admin support for key speaking engagements for the Foundation’s leadership at external events (where appropriate)
  • Working autonomously on smaller events/webinars/workshops (either virtual or in-person)

Marketing

  • Supporting the Digital Comms and Events Managers with updating of the event website
  • Working with the technology team to maintain and update content on the event website   
  • Assisting with the provision of information pre, during and post-event to the Business Development team and other internal stakeholders as needed
  • Alongside the Events Manager and Head of Communications, working with the in-house design team and external production suppliers to track design and delivery of creative assets required for major events

About You

To be the Event Co-ordinator, you will have:

  • Minimum 1 years’ experience in marketing and event planning
  • Excellent verbal and written communication skills
  • An understanding of the role of events in raising an organisation's profile with key audiences
  • Excellent organisational skills with the ability to prioritise effectively, work efficiently and juggle competing priorities; strong project management skills are desirable
  • Excellent communication skills, with the professionalism and confidence to liaise with senior level contacts
  • Astute and pragmatic problem-solving skills
  • Ability to work efficiently under pressure and at pace
  • Working knowledge of health and safety guidelines and practices for in-person events
  • Virtual event management experience or be tech-savvy and able to operate and manage virtual event platforms
  • Able to thrive equally working independently and collaboratively

  • MS Teams Live
