Job Purpose

The Administrative Assistant/Receptionist at Bren-Tronics, part of EnerSys and a manufacturer of advanced portable power solutions, manages the reception area and supports the Accounting and Sales teams to ensure efficient daily operations.

Essential Duties and Responsibilities

  • Greeting and assisting visitors in a courteous and professional manner
  • Assist visitors in signing in and signing out of our Badge Security System
  • Answer and direct phone calls, emails, and other communications promptly
  • Maintaining office supplies and ordering new materials as needed
  • Reconcile Account Payables documents daily in the database and review checks to match invoices
  • Scan and File for Accounts Payable documents
  • Maintain Accounts Payable system to create landing cost work orders
  • Review Accounts Payable FedEx and UPS to collect data on whether packages have been delivered from the designated websites
  • Supporting the Sales team by reviewing orders, shipping and invoices for correct billing to customers
  • Assisting the Sales Team with filing open orders and attached invoices to open orders and filing with closed orders
  • Create Sales Team credit application documents with information given
  • Any other tasks that may be required

Qualifications

  • High School Diploma
  • 2+ years of experience as an Administrative or Office Assistant
  • Ability to use Microsoft Office Suite (Excel, Word, PowerPoint)
  • Excellent interpersonal, organizational, and communication skills
  • Ability to work both independently and collaboratively in a team environment
  • Strong attention to detail and accuracy
  • Proficiency in Adobe a plus

General Job Requirements

  • This position will work in an office setting, expect minimal physical demands.
  • Must be able to frequently bend; twist; reach; stoop; kneel or crouch.
  • Must be able to lift 25 pounds/11.5 kilos on occasions.
