The DepartmentThe Corporate Events Team strategically partners with collaborators to deliver superior, customized meetings and events. Through innovative ideas and industry expertise, we provide our clients and colleagues with the highest level of service, value, and professionalism, while accepting Invesco's purpose and culture.
Your Role:Under limited supervision, provides meeting planning support that includes venue sourcing and site selection, contract negotiation, and coordination of all logistical details. Planning both Invesco’s internal and client meetings, both domestic and potentially abroad, in-person events, virtual and hybrid. Ensures the needs of internal business partner and clients have an outstanding meeting experience. Dedication to an onsite work schedule in NYC, with occasional work from home flexibility. Travel up to 35% primarily domestic but some international that is usually 1-3 days consecutively, up to one week with an occasional weekend required.
You will be responsible for:- Effectively coordinating internal and external meetings for Invesco internal business partners and financial advisors with varying degrees of complexity. This includes in-person meetings, virtual and hybrid
- Securing, negotiating, and contracting off site venues to include hotels and other meeting facilities
- Working with venues and internal business partners to ensure the appropriate meeting space and/or breakout rooms, meeting set-up, food and beverage, audio visual, virtual platforms and other needs are arranged
- Setting up catering events held at Invesco and serving as a liaison between Invesco corporate as well as internal and external clients and vendors
- Effectively managing timelines and deadlines for all aspects of event logistics
- Facilitating arrangements for all meetings and events which may include:
- Invitation and registration (including websites)
- Collaborating closely with marketing on conference design
- Sourcing and securing keynote speakers
- Constructing and maintaining attendee database
- Developing and crafting welcome packets
- Assisting with agenda topics, food and beverage orders
- Producing audio visual, rooming lists, name badges and ticket packets
- Arrange ground transportation and departures and amenities/gifts for groups
- Work closely and effectively with other business units including sales, security, marketing, procurement, finance, human resources and facilities
- Preparing for and attending operational meetings with senior executives in various business units
- Flexibility to be available for onsite events some evenings, early mornings, occasional weekends
- Domestic travel with potential for international travel up to 35%, 1-3 days at a time but could be up to one week
- Onsite work NYC Invesco schedule with occasional work from home
- Managing software CVENT to capture all details of event by coding all required fields, creating a high-level cost estimate, assembling any savings and cost avoidance, and inputting final costs
- Reconciling American Express events card in a timely manager to allocate costs
- Ensuring FINRA, corporate (compliance) and department policies and procedures are followed
- Supporting the Head of North America Corporate events as well as Senior Managers as needed with special projects
- 5-7 years corporate event planning experience.
- Proven track record of ability to coordinate branded, creative events
- Demonstrating a consistent sense of urgency coupled with accuracy
- High energy and adaptable in a constantly evolving environment and can multi-task
- Ability to pinpoint and translate broad goals and concepts
- Strong interpersonal, written, and verbal communication skills
- Innovative and forward thinking in relation to technology, creativity and events
- Proven skills working on design and implementation of high-end events
- Existing relationships and connections with key players, and vendors in the events industry
- Track record of high-quality customer service
- Flexible, open minded and able to see objective points of view within situations
- Desire to be a great teammate and willingness to learn the asset management industry
- CMP certification preferred (if does not hold should be willing to sit for the exam)
- Hands on experience with Cvent, Salesforce, AMEX Travel and Concur highly preferred
