Job Description

The Assistant, Medical Operations provides comprehensive administrative support to the Medical Department and Medical Director, serving as the central point of contact for all department logistics, documentation, and operations. This role encompasses calendar management, travel arrangements, meeting organization, expense processing, document preparation, project support, and compliance activities.

Your work spans across all of AbbVie’s therapeutic areas from within the Medical Team, giving you a broad insight into our portfolio. You will enjoy a highly varied role, where your strengths can be fully utilized and your ideas or suggestions for improvement are always welcome.

KEY RESPONSIBILITIES:

  • Coordinates new employee office set-ups and onboarding.
  • Coordinates and maintains personnel and departmental files in compliance with corporate and government regulations.
  • Supports the Medical Director in various Medical Affairs departmental tasks, including meeting organization and coordination, as well as material (e.g. slide deck) preparation.
  • Organizes and manages internal medical meetings as well as external meetings and events.
  • Supports Vendor Management: opening of new vendors, contracting, and invoice handling.
  • Supports approval process of medical projects in MAP process.
  • Coordinates cross-border activities.
  • Supports Medical Operations in administrative tasks related to non-interventional studies.
  • Ensure compliance with corporate and divisional policies, security, privacy, and purchasing procedures.
  • Interact with senior executives, handling confidential and sensitive information with discretion.

Qualifications

  • Commercial education background or similar.
  • Minimum 3 years of experience in a similar role, preferably in the pharmaceutical industry.
  • Strong project management skills and keen interest in medical topics.
  • Excellent time management, prioritization, and organizational abilities.
  • Business fluency in English, German preferred.
  • Highly service-oriented with strong customer focus.

CRITICAL SKILLS:

  • Strong relationship-building and effective cross-functional communication.
  • Ability to quickly learn, adapt, and reprioritize as needed.
  • Self-driven, detail-oriented, and able to handle ambiguity.
  • Strong written and verbal communication skills.

For this role we are offering a 70% workload with Tuesday being planned as a full working day, other weekdays can be arranged individually.
