Summary: As part of a mission-centric, locally delivered, and nationally powered organization this role is accountable for the planning and execution of LLS’s cycle event. The Cycle Event Experience team will bring the event to life, providing a mission forward, safe and exciting ride for participants.
While employees may be permitted to work remotely, travel to the assigned office, HUB or Satellite Offices may be required as determined by the employee’s manager and the employee’s People Organization Generalist.
Mission Integration
- Partner with the Education, Services and Health Research department to effectively communicate the LLS overall mission, programs, resources, and priorities.
- Responsible for organizing mission-centered, local donor cultivation events
- Maintain a working knowledge of the LLS mission and programs to promote Organizational initiatives.
Event Production Oversite
- Act as project lead in the assigned event(s) management process.
- Regularly communicates and collaborates with the revenue development team as a project manager to ensure exceptional event experience for participants and sponsors.
- Monitor, adhere to, and update event production timelines; adhere to deadlines and communicate progress to the supervisor, identifying potential roadblocks or challenges.
- Oversee the reservation and securing of permits and insurance for events by predetermined deadlines, establishing and maintaining positive relationships with communities hosting our events and vendors; identify and recommend new venues as necessary.
- Schedule and lead event production meetings with appropriate staff, vendors, and local entities (pre, post, on-event).
- Leads in planning, securing, and overseeing event routes including developing contingencies as needed.
- Track expenses and adhere to approved budgets for all events, identifying cost savings.
Key Relationship Management Manage
- Partner with community entities like local law enforcement, government permitting agencies, and local organizations. Establish and maintain positive relationships with vendors and with communities hosting our events.
- If applicable, lead volunteer committees to ensure members are fully supported and prepared for day-of-event roles and responsibilities. Initiate, develop and facilitate committee meetings with relationship management partners to share event details and ensure critical logistical items are addressed.
- Management of event vendors, consultants, and contractors to adhere to logistical timelines; managing expenses to budget; securing vendors and placing orders for event day set-up (tents, tables, chairs, fencing, etc.).
- Cultivate volunteers; seek and provide feedback on route, event timing, rider safety and support, etc.; share opportunities and ideas for reciprocal growth and learning.
- Recruit, manage, and educate event weekend volunteers. Provide education about the volunteer’s role in ensuring the importance of rider safety.
- Provide sponsorship fulfillment and manage deliveries before and during the event.
- Collaboratively manage the distribution of in-kind materials secured by the relationship management team.
Education & Experience Requirements:
- Bachelor’s Degree
- 2-4 years of experience
- Prefer related experience in event planning, event operations, and execution.

Physical Demands & Work Environment:
- Flexibility to work occasional evenings and weekends to support volunteer committees and events, especially during peak event season (spring and summer).

- May be required to move Campaign materials weighing up to 15 pounds for various events.
- Travel to designated events before and during event weekends
- The average salary range is $69,000 - $75,000, open to further discussion based on geography.
- Required to work some evenings or weekends.

We are excited to share the base pay range for this position is $47,000 - $68,000. The offered compensation may vary based on factors such as geographic location, business need, market conditions, proficiencies, skills, education, and experience. Additionally, at LLS we place a high value on internal pay equity and will consider the current compensation of similarly situated roles and direct team members. Base compensation is only one component of our Total Rewards program, which also includes an annual incentive plan and a competitive benefits package.
