Role Summary
The Executive Assistant provides high-quality administrative and organizational support to senior Legal and Compliance professionals within the Asia Pacific region. The role requires strong judgment, discretion, and the ability to manage multiple priorities in a fast‑paced, highly regulated environment.
Key Responsibilities
Administrative & Executive Support
Provide day-to-day administrative support to senior Legal and Compliance professionals, including phone coverage and inbox coordination
Act as a primary point of contact, exercising discretion when handling confidential and sensitive information
Maintain complex calendars using Outlook, including scheduling meetings, managing conflicts, and coordinating conference calls and video conferences
Build an understanding of key internal and external stakeholders to support effective communication
Meetings, Events & Travel
Coordinate meetings, presentations, and related logistics
Organize internal events, including room bookings, registrations, catering, and audiovisual support
Arrange domestic and international travel, including flights, accommodations, itineraries, ground transportation, and support with visas or entry documentation
Expense & Financial Administration
Prepare and submit expense reports using internal systems in a timely manner
Track discrepancies, missing receipts, and approvals to ensure accurate reporting
Process invoices and initiate funding requests through internal platforms
Documentation & Systems
Create, edit, and format documents using Microsoft Office and Adobe tools
Collect and upload documentation to internal and regulatory systems
Maintain and update team collaboration sites, including Microsoft Teams and SharePoint
Team & Office Support
Support onboarding and offboarding of employees and contingent workers
Create and maintain distribution lists and mail groups
Order office supplies, manage incoming and outgoing mail, and coordinate visitor access
Provide backup coverage for other administrative assistants as required
Additional Duties
Assist with business unit administrative tasks
Support ad hoc projects as assigned
Demonstrate flexibility, including occasional overtime based on business needs
Required Qualifications
Experience
Minimum of 5 years’ experience providing administrative or executive support to senior professionals
Prior experience in financial services or a regulated environment preferred
Demonstrated experience managing multiple senior stakeholders and complex calendars
Skills & Competencies
Strong written and verbal communication skills
Sound judgment and ability to handle confidential information
Excellent organizational skills with strong attention to detail
Ability to manage multiple priorities in a fast‑paced environment
Proactive, professional, and service‑oriented approach
Technical Skills
Proficiency in Microsoft Outlook, PowerPoint, Excel, and Word
Familiarity with Microsoft Teams and O365
Experience with systems such as Concur, SharePoint, Fieldglass, Ariba, and CSTO is an advantage
Language Skills
Fluent in written and spoken English and Cantonese
