About the Role
The Swiss Sales team is hiring a permanent Administrative Assistant who will be supporting the team in Zurich. This is a part-time position and the selected candidate is expected to work 60-80% of full time hours over 4-5 days. The specific days and working hours will be discussed and agreed upon.
Key Responsibilities
Schedule and maintain calendars - coordinating times, communicating and corresponding with internal/external participants, scheduling rooms, addressing technology needs, and handling catering arrangements as needed. Involves using judgment with internal and external clients, navigating firm effectively, responding to requests, and having ability to re-prioritize calls/meetings as needed.
Arrange domestic/international travel, including developing detailed agendas, managing any visa requirements, and addressing other travel/logistics related requirements as needed.
Prepare, submit, and monitor expense reports and vendor payments for the Sales team members, leveraging tools such as Concur.
Manage telephone coverage as needed, including responding to inquiries, routing calls, and taking detailed messages.
Manage other miscellaneous administrative activities including technology requests, preparing copies, managing supplies, coordinating equipment needs, reviewing/distributing incoming mail, and maintaining a fully-functioning work area for the team.
Demonstrate discretion with sensitive information related to firm, team, and/or staff.
CRM Management: Maintain and update CRM records.
Ad-hoc sales support: Coordination of logistics and materials for client meetings, investor calls, and roadshows - including preparation and distribution of presentation materials and coordination with internal stakeholders. Special projects and requests as needed.
Qualifications
Relevant administrative support experience in a professional environment, preferably in the investment management industry.
“KV-Lehre” education or equivalent required
Excellent written, verbal, and interpersonal communication skills in German and English. Knowledge of French is advantageous, but not required.
Knowledge of general office procedures (e.g., filing, correspondence, scheduling, expenses, calendar)
Effective interpersonal skills and excellent telephone etiquette
Tact and good judgment and proven experience interacting with external clients
Prioritization, attention to detail and accuracy, follow-up with a sense of urgency, and strong organizational skills are essential.
Strong ability to manage multiple priorities and take independent initiative for action within areas of responsibility, while also exhibiting sound judgment on when to seek guidance and take direction.
Highly service-oriented, solutions focused, collaborative individual with the ability to work well both as an individual contributor and as part of a team.
Proficiency in Microsoft Outlook is required.
Advanced Experience in Word, Excel, and PowerPoint is required. Demonstrate ability to learn new systems quickly e.g. AI tools.
