DESCRIPTION

We are looking for a talented Project Assistant – Level III to join our team specializing in Quality at our facility in Columbus, IN, US.

In this role, you will make an impact in the following ways:

 Turn structure into momentum by keeping project plans, timelines, and records organized so the team can move faster and with fewer surprises.

 Lighten the load for Project Managers by owning clearly defined admin and logistics tasks, freeing them up to focus on higher-level delivery and decisions.

 Improve visibility and clarity by tracking progress and sharing clear, timely status updates using data visualization and communication tools.

 Catch issues early by helping identify, track, and coordinate resolution of project risks and blockers before they impact delivery.

 Strengthen financial discipline by assisting with budget tracking and ensuring project spending aligns with plans.

 Support smarter planning through research, documentation, and hands-on help developing realistic project plans and timelines.

 Promote continuous improvement by documenting lessons learned and best practices and sharing them across teams.

 Build reliable project foundations by maintaining accurate notes, databases, and communication flows that keep everyone aligned and accountable. Top of Form

RESPONSIBILITIES

To be successful, you will need to consistently demonstrate the following:

Tailor your messages to different audiences (project managers, team members, stakeholders) and choose the right format—visuals, written updates, or verbal check-ins—to ensure clarity and alignment.

Use recommended tools to identify, assess, track, and communicate risks and issues early, helping the team minimize impact and maximize positive outcomes.

 Support strong control of scope, schedule, and resources

Help manage deliverables, timelines, budgets, and headcount using standard project management processes to keep projects on track and within agreed boundaries.

 Value differences and collaborate inclusively

Leverage diverse perspectives and working styles to strengthen decision-making and team performance.

 Drive continuous improvement

Apply quality tools and structured problem-solving to identify gaps, capture lessons learned, and contribute to sustainable process and performance improvements.

Education, Licenses, Certifications:

High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.

College or equivalent degree preferred.

This position may require licensing for compliance with export controls or sanctions regulations.

Experience:

Requires work experience and intermediate level knowledge obtained through training or on the job experience. Administrative /support experience preferred.

QUALIFICATIONS

Additional Info:

  • Maintain SharePoint lists, folders, and team documentation to ensure accurate, up-to-date project records.
  • Pull data from customer and internal databases; organize and summarize information for project teams and leadership.
  • Prepare clear and professional PowerPoint presentations, status updates, and visual summaries.
  • Draft and send routine project communications, including emails, meeting recaps, and task follow-ups.
  • Coordinate and track action items, ensuring timely updates and closure with cross-functional stakeholders.
  • Support creation and maintenance of task trackers, dashboards, and other project monitoring tools.
  • Assist with scheduling, meeting preparation, and follow-through to support efficient project execution
