Job Details

Basic purpose of role/Why the job exists:

The main objective of this role is to successfully initiate, plan, design, execute, monitor and control project activities to completion in alignment with the Medical APAC business strategy.

As a key member of the Medical APAC Project Management Office (PMO) the Project Manager will contribute to and adopt best practice project management methodologies towards Business Critical Projects in Japan.

Key areas of accountability:

Team & Stakeholder Engagement

  • Proactively and productively partner with key stakeholders in the business and within the PMO team to ensure alignment and coordination of project outcomes in Medical APAC.

Project Management & Best Practice

  • Provide effective project management through role modelling high performing behaviours.
  • In partnership with other members of the PMO utilise a common project methodology with effective tools that are used consistently across the business.
  • Include change management practices to ensure adoption of deliverables by the business.

Project Planning

  • Determine and prioritise key project actions.
  • Identify key project stakeholders, their needs and expectations.
  • Through stakeholder workshops, ensure business needs are clearly identified and documented at project initiation.
  • Sequence project activities, setting realistic and practical goals to meet delivery dates.
  • Produce detailed project schedule based on the assigned delivery dates.
  • Determine type, quantity and quality of resources required.
  • Allocate resources and determine budget for each project.
  • Identify project risks, and contingency plans and control measures.
  • Develop project communication plan with Senior Manager and Project Business Owner.

Project Execution

  • Implement project plans, monitoring project deliverables, timelines, and costs.
  • Continually monitor and manage risks, suggesting alternate approaches and re-prioritising as required.
  • Ability to proactively identify issues requiring escalation and communicate them early with clear solution options.
  • Prepare and present project status reports to stakeholders.
  • Prepare materials, ensure stakeholder readiness, and present to the Steering Committee.
  • Partner with business, quality, regulatory and IT teams to ensure compliance with regulations, policies, standards, procedures, and associated documentation.

Project Closure

  • Obtain stakeholder approval for final deliverables.
  • Ensure detailed handover to Business owner /SME of ongoing processes for BAU.
  • Present final project summary and project documentation.
  • Conduct project retrospective/ review and evaluate performance against defined project goals.
  • Establish ongoing tracking and monitoring of ROI and success metrics.

PERSON SPECIFICATION

Critical Requirements (e.g.: skills, experience, qualifications):

Experience:

  • 2 years+ of proven Project Management experience which has delivered tangible business improvements.
  • Knowledge of Project Management concepts.
  • Demonstrated proficiency in stakeholder engagement.
  • Demonstrated proficiency in engaging and motivating indirect employees.
  • Demonstrated involvement in gathering of business requirements, project planning and delivery management processes to meet project goals.
  • Experience leading end‑to‑end project delivery in environments requiring independent problem‑solving.
  • Demonstrated ability to manage competing priorities in a fast‑paced, ambiguous environment.
  • Demonstrated ability to influence prioritisation and secure resources from teams with competing business commitments.

Skills:

  • Has a passion to meet project goals and objectives to drive business results.
  • Advanced communication skills in both Japanese and English, with a proven reputation for positive stakeholder engagement.
  • Strong collaboration skills, with the ability to research and solution in partnership with stakeholders.
  • Ability to generate, explain, and present detailed schedules, objectives, reports, and other documentation accurately.
  • Ability to analyse and suggest corrections to complex process issues using independent judgment.
  • Must have excellent communication, interpersonal, conflict management, collaborative team work, presentation and negotiation skills.
  • Ability to build trusting relationships and gain respect from all stakeholders.
  • Strong influencing skills within matrix and indirect reporting environments.
  • Ability to handle confidential and sensitive information appropriately.
  • Utilises Project Management & diagramming software and tools to maintain proper records (e.g. Microsoft Planner or Project JIRA, Asana, Microsoft Visio or equivalent)
  • Intermediate knowledge of Microsoft Suite including Teams, PowerPoint, Excel and Word.
  • Strong sense of delivery ownership required.

Qualifications:

  • Bachelor’s degree in a business-related field and/or Project Management certification (e.g. PMP, PPM, PMI-ACP, CSM)
  • Fluency in Japanese and English.

Desirable Requirements (e.g.: skills, experience, qualifications):

  • Experience using hybrid and Agile methodologies.
  • Experience implementing successful continuous improvement activities.
  • Proven experience with LEAN methodologies.

Other requirements (e.g.: travel, on-call responsibilities):

Limited travel may be required.
