Job Details
Position Summary:
This position is responsible for the management of HR administrative processes for the assigned business unit. This includes all HR processes that fall outside the HR Operations ownership, such as local events planning, reporting, metrics and projects within assigned business unit.
Essential Duties & Responsibilities: (Detailed Description)
- Coordinate local recognition awards e.g. spot awards and service awards and other local recognition and rewards events and activities
- Coordinate, plan, set up and support local employee engagement events and activities such as Take our Kids to Work Day, Engagement Week, etc.
- Initiate internal promotion letters as needed per local guidelines
- Maintain employee files and respond to requests for information from employee files as required
- Manage all aspects of local HR Administration (outside of Workday/HR Ops)
- Process aspects of voluntary and involuntary separations not managed by people manager/HRBP within Workday, prepare and track agreements and coordinate severance benefits as required locally
- Create new hire files and benefit folders as required locally
- Conduct regular audits to ensure that personnel files are up to date as required locally
- Manage the internship administration and summer internship local program delivery in line with COE processes to include interview coordination, offer letter creation, background checking and new employee paperwork processing as required locally
- Support New Hire Orientation
- Assist in the preparation of documents, reports, spreadsheets and presentations for HR leader
- Conduct Workday reporting (that is not produced by HR Operations) including creating divisional reports and the coordination of reports received from HR Operations for the use in updating local scorecards, leader dashboards and business reviews
- In alignment with COE guidelines, manage the divisional/geography Q12 process including pre-survey data accuracy, fielding, distribution of survey results, tracking of action planning, creation of reports and acting as the Super User for the assigned business unit
- Support the assigned business unit with regards to the Gallup administration including registering employees for StrengthsFinder, creating Team Blends, pulling StrengthFinder results, requesting missing profiles, interfacing to receive and monitor congruency reports
- Provide reporting in preparation for talent processes and business reviews from Workday
- Support global Engagement and Diversity and Inclusion initiatives
- Ensure local HR Shared Drive is kept well organized and all pertinent information is captured electronically as required for assigned business unit
- Enhancing existing local processes and structures to streamline and be more effective as well as identifying initiatives that could better support our customers in a more efficient manner
- Manage additional projects or responsibilities as required
Education & Special Trainings:
- Associate Degree or equivalent experience
Qualifications & Experience:
- Demonstrated high level of proficiency in Microsoft Outlook, Word, Excel and PowerPoint. Including complex document creation (e.g. mail merges), complex spreadsheet creation (e.g. VLOOKUP) and polished presentation creation
- Experience in creating reports, assessing, manipulating and presenting data in various usable formats is essential
- Experience using Workday would be preferred
- Demonstrated ability to build relationships and influence at all levels of the organization
- Proven ability to drive execution while always meeting deadlines
- Must be outcome driven and taking responsibility/accountability for tasks
- Ability to produce quality work while, prioritizing multiple simultaneous deliverables and working in a fast-paced, demanding environment

- Strong interpersonal skills along with presentation, written and verbal communication skills are necessary

- Communicate telephonically and via email and other electronic means
- Ability to effectively navigate Workday and Microsoft Office Suite
- Ability to handle multiple concurrent tasks and changing priorities
Pay rate will not be below any applicable local minimum wage rates.
