DESCRIPTION

Job Summary:

Acts as an extension of senior management ensuring a positive customer experience while being the representative of senior management to others. Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, overseeing visitors, routing callers and answering questions and requests.

We are looking for a talented Executive Administration and Communications Specialist (Remote) to join our team.

With occasional travel to our MRC Henderson, CO and / or Upfit Dallas TX.

This role will make an impact in the following ways:

  • Act as an extension of senior management, ensuring a positive customer and employee experience while representing leadership to others.
  • Provide high-level administrative support, including managing complex calendars, scheduling, travel arrangements, expense reporting, and correspondence.
  • Draft, edit, and format documents, reports, presentations, speeches, and official communications.
  • Facilitate smooth communications between senior management and internal teams, external partners, customers, and vendors.
  • Maintain the confidentiality and security of sensitive information and records.
  • Plan, coordinate, and execute team meetings, including agendas, logistics, note-taking, and follow-up on action items.
  • Support project planning, scheduling, and coordination; track deliverables, budgets, and timelines; prepare status reports.
  • Design and develop high-quality, visually compelling presentations tailored to audience needs using storytelling and data visualization techniques.
  • Serve as a formal resource to colleagues with less experience, mentoring and providing guidance as needed.
  • Complete additional duties and special projects for senior management as assigned.

RESPONSIBILITIES

In order to be successful in this role you will need the following:

  • Proven ability to anticipate senior management needs and act with discretion and initiative.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
  • Exceptional written and verbal communication skills, including experience in speech writing and content development.
  • Familiarity with project management tools and methodologies (e.g., Agile, DMAIC) and ability to support project tracking and reporting.
  • Ability to plan and coordinate domestic and international travel, including visas, passports, and expense reporting.
  • Skilled in facilitating team meetings and company events, including scheduling, logistics, materials, and follow-up on action items.
  • Experience in drafting, editing, and reviewing presentations, memos, letters, reports, and official communication materials.
  • Ability to analyze, interpret, and visually communicate data effectively for reports, dashboards, and presentations.
  • Strong understanding of corporate branding, communication standards, and business etiquette.
  • Comfortable working independently, making decisions, and taking ownership of responsibilities.
  • Mentorship capability to guide and support junior colleagues as a formal resource.

QUALIFICATIONS

Executive Adminstrative Support

  • Manage calendars, travel arrangements, expense reports, and meeting logistics.
  • Prepare and edit documents, memos, and official correspondence.
  • Maintain confidentiality of sensitive information and ensure smooth communication between senior leadership and stakeholders.

Team Meeting Planning

  • Coordinate and schedule team meetings, including agenda preparation and distribution.
  • Arrange meeting logistics (venue, virtual links, catering, materials).
  • Capture and distribute meeting notes and action items promptly.

Communications Specialist

  • Draft and edit speeches, presentations, and briefing packs for senior leadership and company events.
  • Coordinate with stakeholders to finalize messaging and visuals for communication.
  • Ensure timely delivery and adherence to branding and communication standards.

Project Administration

  • Support project planning, scheduling, and resource coordination.
  • Track deliverables, budgets, and timelines; prepare status reports.
  • Facilitate communication between project teams and leadership.

Presentation Development

  • Design and prepare high-quality slide decks for leadership briefings, internal meetings, and external events.
  • Tailor content to audience needs, ensuring clarity and impact.
  • Apply storytelling techniques and data visualization best practices.

Required Skills

Administrative Expertise

  • Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time-management skills.
  • Ability to anticipate needs and act with discretion.

Communication & Marketing

  • Exceptional written and verbal communication skills.
  • Experience in speech writing and content development.
  • Understanding of branding and corporate communication principles.

Project & Meeting Management

  • Familiarity with project management tools and methodologies (e.g., Agile, DMAIC).
  • Skilled in planning and executing team meetings effectively.
  • Ability to manage multiple priorities and stakeholders.

Presentation Design

  • Skilled in creating visually compelling presentations.
  • Knowledge of design principles and ability to simplify complex information.
  • Comfort with tight deadlines and iterative feedback.

Preferred Qualifications

  • 1-3 years of experience in executive support or communications.
  • Bachelor’s degree in Business Administration, Communications, or related field.
  • Certification in project management (PMP, 6S or equivalent) is a plus.

Education, Licenses, Certifications:

High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.

This position may require licensing for compliance with export controls or sanctions regulations.

Experience:

Significant work experience and in-depth knowledge obtained through specialized training and relevant experience.

Compensation and Benefits

Base salary rate commensurate with experience.
