Field Service is a division which includes all regional, complex and branch service teams including service leaders as well as support professionals.
Position Summary:
The Executive Assistant is responsible for providing administrative support to the Head of Field Service and COO and Head of Strategy for Field Service along with a variety of administrative, organizational, and logistical support for the broader team. The Executive Assistant will interface regularly with individuals at all levels across Morgan Stanley and outside the firm. This individual must have an excellent service orientation and the ability to manage a fast-paced work environment and juggle multiple, simultaneous projects. This is an on-site role located in Purchase, NY.
Responsibilities:
- · Maintain, manage, coordinate and prioritize high level executive calendar for the Head of Field Service and the COO and Head of Strategy for Field Service and ensure both are prepped for meetings, including scheduling meetings, conference calls, and creating materials where necessary
- · Manage extensive travel, including complex travel needs, and complete expense reports (booking flights, hotels and ground transportation; collecting all relevant details and preparing trip itineraries; communicating with trip organizers)
- · Manage incoming calls and directing as appropriate, handling conflicts and prioritizing issues; vetting and prioritizing requests for meetings and media appearances
- · Establish and maintain positive relationship management with key internal and external colleagues, clients, boards, etc. Ensure regular outreach to priority contacts, and serve as a positive point of contact in each relationship.
- · Coordinate and maintain the team's master speaking engagement schedule
- · Planning, organizing and implementing events such as team meetings, departmentwide events and off-sites
- · Substantial other duties as necessary including but not limited to special projects and initiatives
- · Serves as a point of contact for facilities, technology and expense related tasks and escalations throughout the team
Requirements:
- · Bachelor’s degree
- · Ability to effectively and efficiently support an executive or executives with their administrative work, which has included the management of their travel, events, communications, and key relationships
- · Excellent writing and proofreading abilities, with an emphasis on accuracy, spelling, punctuation, and grammar
- · Excellent time management and organizational skills that reflect an ability to prioritize and perform multiple tasks with attention to detail
- · Strong listening and communication skills suited for working collaboratively with a broad range of individuals and effectively interacting with colleagues both in the office and in remote locations, with external partners, and with clients
- · Self-starter with a high level of energy, professionalism and desire to learn
- · Ability to work well under pressure with rapidly changing priorities
- · Discretion with highly confidential and sensitive information
- · Proactive approach to problem-solving with strong decision-making capability
- · Proficiency in MS Word, Outlook, Excel, and PowerPoint is required
Expected base pay rates for the role will be between $57,000 and $115,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
