Your Role:
As the Executive Assistant to the MD, Global Head of Investment and Distribution Services (IDS), you will provide high-level administrative support including calendar management, travel arrangements, expense reporting and acting as a gatekeeper for communications. The Executive Assistant will be exposed to highly confidential and sensitive company and employee information that they will be expected to treat with utmost discretion and tact.
Responsibilities of the role:
Day-to-day global operations on behalf of the MD, Global Head of IDS which will include but not limited to scheduling, booking travel, and office logistics.
Act as the point of contact among global stakeholders (executives, employees, clients, and other external partners and stakeholders)
Plan leadership team off-sites, team-building events, and quarterly meetings
Coordinate meeting times with attendees, including on-site or off-site logistics, as needed
Manage calendar (book meetings, respond to meeting requests, etc.) strategically to create optimal flow
Track meeting attendees, expenses and prepare expense reports as required
Arrange travel and create comprehensive travel itineraries
Act as a liaison between Executives and onsite staff as required
Manage information flow in a timely and accurate manner
Requirements of the role:
15+ years of experience of assistant support, both as an Executive and Personal Assistant
Experience working across multiple cultures and global constituents
Proven ability to handle confidential information with discretion
Prior experience working with key strategic service providers and independent funds board members
Able to work in a deadline driven environment with a sense of urgency and an ability to communicate and escalate issues and recommend solutions
Proven ability to coordinate recurring processes such as funds board material preparation with the ability to build project schedules and influence key business partners to deliver materials timely
Strong communicator who collaborates regularly with business partners with an eye toward process improvement and efficiency
Demonstrates exceptional professionalism, discretion, and communication skills, with the ability to adapt quickly to varied daily responsibilities in a dynamic environment.
Brings a high level of reliability, organization, and stakeholder‑focused service, consistently building trust through thoughtful execution and proactive problem‑solving
Thrives in fast‑paced, high‑growth settings, anticipating challenges, resolving issues efficiently, and contributing meaningfully to organizational impact
