Business Operations Coordinator - TR Foundations

The Thomson Reuters Foundation is seeking a highly organized and detail-oriented Business Operations Coordinator to provide executive and administrative support across the Foundation’s business administration activities. This new role will support the Foundation’s Senior Leadership team, centralising administration in the Business Operations team whilst ensuring accuracy and efficiency. The Business Operations Coordinator will report to the Directors’ Assistant and Office Manager, based in London, and work closely with colleagues across multiple teams and locations.
About the Role
In this opportunity as a Business Operation Coordinator, you will:
Directors' Assistant / Executive Support
Manage complex Director diaries, including prioritisation, scheduling, meeting logistics, and coordination across time zones.
Provide travel support for SLT and new users, including guidance on processes, systems, and troubleshooting issues.
Support event planning and logistics (e.g., leadership meetings, offsites, and team sessions), including venues, attendance, and communications.
Systems & Process Training
Support Navan travel booking training for new users and provide refresher guidance where needed.
Coordinate and improve the induction process, including maintaining checklists and materials, booking sessions, and tracking completion.
Talent Management Administration
Coordinate onboarding and offboarding activities for staff and contractors.
Maintain distribution lists and shared access groups, ensuring accuracy and timely updates.
Maintain organigrams (TRF and team-specific), keeping reporting lines and team structures current.
Support Fieldglass administration, where applicable, including administering profiles, maintaining records, and account creation.
Office Management & Mailbox Administration
Act as the 5 Canada Square point of contact, ensuring requests are tracked, responded to, and progressed efficiently.
Own TRF mailbox administration, including triage, allocation, response standards, and maintaining an organised audit trail.
Analysis & Reporting
Provide regular updates to stakeholders on operational performance and exceptions.
Surge Support (Programmes)
Provide ad hoc surge support across TRF teams for invoices, including tracking, chasing approvals, correcting missing information, and coordinating with Finance/AP as required.
Support supplier onboarding, ensuring required information is collected from suppliers and requests are progressed without delay.
Provide ad hoc programmatic delivery support to the Programmes team, including:
Coordination of bespoke work packages for projects
Logistics support for training sessions
Liaison with internal and external stakeholders for project activities
Continuous Improvement
Identify recurring operational pain points and recommend practical process improvements, including templates, trackers, checklists, and handoffs.
Create and maintain simple how-to guides and FAQs for travel, mailbox standards, onboarding steps, and invoice/supplier workflows.
Support compliance and governance by maintaining clear records and ensuring consistent administrative standards.
About You
To be the Business Operations Coordinator, you must have:
Must be a Bachelor's degree graduate
1-2 years’ experience of providing executive support to senior leadership
2 years’ experience in an administrative role
Demonstrated ability to handle confidential information with discretion
Experience working in a cross-functional, international team is an advantage
Excellent organizational and time management skills, with the ability to manage multiple priorities and meet deadlines.
