Location : Bangalore
The candidate should have more than 7+ years of overall work experience and a proven track record of successfully managing administrative tasks while interacting with many stakeholders in a fast-paced environment. Good written and verbal communication skills and attention to detail are critical.
Responsibilities:
Manage and coordinate the professional calendar, including scheduling meetings, appointments, and phone calls
Book meeting rooms and manage logistics for in-person and virtual meetings.
Screen and prioritize incoming communications (emails, calls, etc.), ensuring timely responses and appropriate redirection.
Serve as a liaison between executives, employees, and external partners, ensuring smooth and effective communication.
Organize and manage all travel arrangements, including accommodations, transportation, and any other arrangements.
Track and manage travel expenses, ensuring timely submission and reconciliation through Concur.
Provide general administrative support, including spreadsheet creation, document preparation, and database management and handle tasks such as printing, faxing, and maintaining contact lists.
Assist in planning and coordinating team meetings, including taking and distributing meeting minutes, and following up on action items.
Manage and track expenses related to business travel and other professional activities.
Handle purchase order (PO) management and oversee the end-to-end process of the team’s procurement requests.
Maintain the highest level of confidentiality and professionalism in handling sensitive information and materials.
Identify areas for process improvement and implement more efficient administrative systems. Assist with special projects and initiatives as assigned.
Preferred Qualifications :
Ability to maintain confidence and professionalism when leading others through ambiguous and complex situations.
Excellent communication, interpersonal and organizational skills, with the ability to drive and implement ideas in a changing environment.
