DESCRIPTION

The Administrative Associate – Level II (Quality) provides comprehensive administrative and operational support to the Quality function under moderate supervision. This role is responsible for coordinating documentation, managing data, and supporting departmental activities to ensure smooth day-to-day operations. The position also manages end-to-end aftermarket shipment claims for the Singapore PDC while contributing to continuous improvement initiatives and maintaining accurate records and reporting.

Work Arrangement & Shift:

  • Shift Timing: 6:30 AM to 3:30 PM
  • Work Mode: Hybrid
  • Work from Office: Tuesday to Thursday
  • Work from Home: Monday and Friday

Key Responsibilities:

  • Manage end-to-end aftermarket shipment claims for the Singapore PDC, ensuring accuracy, timeliness, and compliance with established processes.
  • Provide administrative support by conducting research, preparing statistical reports, and responding to routine information requests.
  • Gather, compile, verify, and accurately enter data into reports, presentations, forms, databases, and spreadsheets.
  • Assist with data collection, data entry, report generation, and maintenance of departmental metrics and dashboards.
  • Support associate-related administrative functions such as preparing correspondence, arranging meetings, scheduling conference calls, and coordinating visits.
  • Respond to or redirect routine inquiries from internal and external stakeholders, ensuring prompt and accurate communication.
  • Prepare and process documentation for vendor, supplier, and third-party payments; submit payment requests into accounting systems and resolve queries from accounts payable and payees.
  • Document, maintain, and update departmental policies, procedures, and work instructions.
  • Participate as a team member in departmental business improvement initiatives and quality-related projects.
  • Perform other routine administrative activities in accordance with organizational and departmental procedures.

  • Experience in administrative support, data handling, reporting, or quality-related functions is preferred.

QUALIFICATIONS

Qualifications:

  • High school diploma or certificate of completion of secondary education.
  • Equivalent experience may be considered where it meets applicable regulatory requirements.
