Role Overview

The Ops Support Senior Analyst – C12, for Legacy Holdings Operations & Technology is a senior-level position responsible for the core activities of the Holdings Operations and Technology organization relating to Records and third-party management. Holdings Operations includes in-country teams in multiple countries as well as a centralized operations hub (CSIPL), with Holdings Technology supported across multiple locations including Singapore and Poland, providing application management and production support for the Holdings markets. Holdings mandate is to effectively support and wind down residual obligations and activities from Wind-down, divested and liquidated Legacy Franchises businesses. Residual obligations include reputational, contractual, and regulatory items that remain post-divestiture or wind-down.

The Ops Support Senior Analyst will be responsible for establishing and maintaining a strong framework for operations and technology via adherence to enterprise-wide programs, including internal and external third-party management and Records management via the Third-Party Management and Records Policies and Standards.

Responsibilities:

  • Manage and oversee the Records Management processes across countries, including acting as the Records Management Officer (RMO) and/or Records Management Point Lead (RMPL) for relevant areas. This includes comprehensive management of both digital data and physical data and documents, encompassing their creation, identification, storage, retrieval, archiving, and disposal. Provide governance and oversight over the compliance of the Businesses/Functions to the Records Management Policy and Standard.

  • Implement and oversee periodic destruction schedules for records in accordance with legal, regulatory, and internal policy requirements, ensuring secure disposal of both paper and electronic records. As Holdings RMPL, work in partnership with Data Retention and Information Management (DRIM) to raise and seek approval of dispensations to allow for records disposition.

  • Review opportunities to simplify storage and retrieval, focusing on inventory management effectiveness to reduce storage costs and optimize resource utilization

  • Contribute to the development of scope, strategy and resource plans for the Global Records Management Office.

  • Develop and maintain relationships with partners across the Regions, Businesses and Functions to provide expert advice, and deliver on the requirements against the Global Records Management Office plans with a continuous focus on meeting and exceeding Records Management Policy and Standards.

  • Ensure that the Functions' records and information subject to record keeping requirements has been documented with its relevant lineage in line with the Data Operating Model framework.

  • Accountable for Privacy across Holdings Operations and Technology, working directly with the In Business Privacy Officers within the LF In-Business Risk and Control function. Ensure adherence to Data Privacy and GDPR regulations across all records management activities and business operations, including cross boarder clearance and Privacy impact Assessments

  • Identify and govern the adoption of Citi's Records Management Policy and Standards by third parties used by Businesses and Functions.

  • Monitor and manage Residual Obligations from all divested and liquidated businesses, ensuring compliance and timely resolution. Drive on time conclusion of obligations and identification of opportunities to expediate the completion.

  • Assume the role of Business Activity Owners (BAOs) / Business Activity Owner Support (BAOS) for Holdings vendors, ensuring their compliance with Third Party Management Program requirements including on going monitoring, performance reviews and contract renewals/termination. Establish and maintain effective relationships with he third party suppliers, with regular calls and oversight as required.

  • Oversee ICSA (Intercompany Service Agreement) management to ensure proper record-keeping and compliance. Accountable to review and maintain ICSA agreements across all remaining Holdings businesses to ensure that all relevant internal services received or provided are documented, and any redundant services are terminated.

  • Provide comprehensive Legal Entity Support, this will include authorized signer/reviewer for Legacy Legal entities, coordination with Company Secretary and Board paper submissions as required.

  • Development of tools, processes, and a robust environment to enable an efficient oversight of data quality and integrity initiatives relating to Records Management.

  • Review opportunities to simplify storage and retrieval, focusing on inventory management effectiveness to reduce storage costs and optimize resource utilization.

Qualifications:

  • 8+ years relevant experience

  • Minimum of five years in Operations, or Risk Management-related role.

  • Knowledge of Citi Risk Management.

  • Risk-based thinking and analytical mindset.

  • Ability to successfully manage relationships across multiple functions and execute against collective goals.

  • Self-starter who can work independently.

  • Consistently demonstrates clear and concise written and verbal communication skills.

  • Manage occasionally complex and varied issues with significant cross-departmental impact.

  • Proficient in the use of basic Microsoft applications (Word, Excel, PowerPoint).
