Position: Senior Manager, Talent Acquisition - Japan
Reports to: Director, Talent Acquisition (Intercon)
Location: Tokyo office (work from office on Mondays, Wednesdays and Thursdays)
The Japan Talent Acquisition Lead will be responsible for all recruitment activities across Commercial Therapeutics, Allergan Aesthetics, Corporate Staff Functions, and R&D. The role will be responsible for the design and implementation of local EVP, Employer Branding and Recruitment Marketing initiatives in Japan.
- The successful candidate will:
- Operate across multiple departments/functions/affiliates delivering on the TA Strategy in alignment with both Global Commercial TA whilst driving day to day full-cycle end-to-end recruitment from intake of requirement definition through offer preparation, negotiation, and administration of the hiring process.
- Provide overall strategic leadership & continuity for TA in the Affiliate; Escalation point of contact.
- Be the Single Point of Contact of Japan Business Leaders and Business HR stakeholders.
- Deliver quarterly business reviews with BHR & Business Partner.
- Be responsible for achieving or exceeding SLC’s with Area & Affiliate functional leads.
- Ensure the Talent Acquisition Delivery Model and Structure is adaptable and able to match the dynamic nature of the business.
- Develop and manage relationships with key stakeholders, as appropriate.
- Manage a team of 2 TA Managers.
CORE JOB RESPONSIBILITIES:
- Subject matter expert for TA for all recruitment activities.
- Hands-on management of end-to-end recruitment across all functions.
- Build trust and strong partnerships with internal stakeholders, i.e., business leaders, BHR, Communications, Total Rewards, Talent Deployment, Talent Management & Development, among others.
- Build trust and strong partnerships with external stakeholders, i.e., candidates, recruitment agencies, industry peers.
- Develop a complete understanding of business objectives and strategy aligned with hiring needs
- A trusted advisor to internal clients by providing business intelligence and best recruitment strategy.
- Initiate intake meetings and consult Hiring Managers to understand skill requirements, background and experience of preferred candidates; set and manage expectations of Hiring Managers on the hiring process.
- In close partnership with HR and business, anticipate, the future needs and potential challenges coming from the market in terms of available candidate pool, skills set required.
- Responsible for direct sourcing within affiliate for critical roles as well as manage agencies as necessary.
- Keep abreast of latest recruitment / direct sourcing methodologies as applicable to the type of hires required within each affiliate.
- Be knowledgeable and aware of necessary Manpower regulations on hiring and work permits, as necessary.
- Advise ad-hoc sourcing strategies based on current market knowledge, network, and existing internal programs, e.g., Employee Referral Program.
- Proactively identify and resolve issues in the hiring process workflow and strive for continuous improvement.
- Ensure usage of behavioral based interview questions for all interviews and administering competency-based assessments as appropriate and agreed with Hiring Manager.
- Vendor management, i.e., manage service level agreements with external parties including but not limited to recruitment agencies’ Master Service Agreements/Preferred Supplier List (PSL), in consultation with Purchasing and Legal.
- Drive Employer Branding activities in Japan in alignment with BHR/Communications and regional and global EVP to ensure awareness and market interest in joining AbbVie.
- Timely management of the Applicant Tracking System, Smart Recruiters.
- Ensure appropriate and timely communication with candidates to keep them engaged while in selection process or on pipeline and/or update reject candidates not selected.
- Provide BHR or business with relevant analytics and hiring metrics required.
- Manage the company’s Employee Referral Program in collaboration with Business HR.
- Ensure best practice regarding recruitment and selection activities are maintained with regard to company policy and Local Employment Legislation.
- Work and partner closely with incumbent HR Business Partner managing Recruitment activities for certain level roles and job grade to ensure alignment of recruitment processes.
- Lead TA projects as required.
PREFERRED QUALIFICATIONS:
- Experience in in-house corporate recruitment or agency, with a preference for pharmaceutical/healthcare industry background; inclusive of at least 5-7 years in-house recruitment with high focus on direct sourcing.
- MBA / PGDM preferably in Human Resources or equivalent.
- Proven track record in driving and owning the Talent Acquisition process ensuring candidate and client management satisfaction.
- Experience in direct sourcing and recruiting in the Pharma/Healthcare industry is preferable.
- Strong understanding of the recruitment processes.
- Familiar with relevant local Labor Laws relating to recruitment and hiring practices.
- Strong ability in building solid relationships with the talent in the market and the business and provide a “consultative” approach throughout the recruitment process.
- Fluent in written and verbal English communication, an additional language will be an advantage.
- Professionalism to deal with senior stakeholders.
