Job Purpose
The Executive Liaison will provide high level strategic and administrative support to the Chief Technology Officer (CTO). This role is ideal for a highly organized, tech savvy professional who excels at managing complex workflows, synthesizing technical information, and enabling executive effectiveness. The Executive Liaison will serve as an extension of the CTO—supporting internal communication across engineering and technology teams, coordinating cross functional initiatives, and ensuring the CTO is prepared for all meetings, decisions, and strategic activities.
The role requires exceptional professionalism, confidentiality, and attention to detail. The successful candidate will be proactive, resourceful, and comfortable operating in a fast paced, highly technical environment. While the role involves broad coordination and occasional event support, it does not require significant travel.
Essential Duties and Responsibilities
Primary Support for the CTO
- Manage and optimize the CTO’s calendar, ensuring alignment with strategic priorities.
- Prepare briefing materials, pre‑reads, talking points, and research summaries for high‑level meetings.
- Draft, edit, and oversee executive‑level correspondence, communications, and presentations.
- Track and ensure follow‑through on CTO‑driven initiatives, commitments, and action items.
- Support preparation for technology leadership meetings, engineering reviews, and other executive forums.
- Handle sensitive, confidential, and personnel‑related information with discretion.
Support for Executives Reporting to the CTO (Occasional)
- Provide administrative or coordination assistance during peak periods, special initiatives, or cross‑functional projects.
- Assist with research, data compilation, meeting preparation, or internal communications as bandwidth allows.
- Support coordination of leadership offsites, planning sessions, workshops, or all‑hands events.
- Help streamline communication and alignment across the extended technology leadership team.
Cross‑Functional Responsibilities
- Serve as a communication liaison between the Office of the CTO and engineering, product, IT, cybersecurity, operations, HR, finance, and other internal partners.
- Maintain digital documentation, project tracking systems, and knowledge repositories.
- Coordinate and execute special projects and strategic initiatives assigned by the CTO.
- Prepare materials for executive committees or board‑related technology updates.
- Organize meeting agendas, take minutes when needed, and track follow‑up items.
- Support internal messaging, newsletters, status updates, or announcements from the technology organization.
- Provide event coordination for virtual and in‑office events (minimal travel required).
Qualifications
- Bachelor’s degree or equivalent experience.
- Minimum 5 years of experience supporting senior executives, preferably within technology, engineering, or product organizations.
- Exceptional organizational, time‑management, and prioritization skills.
- Strong written and verbal communication skills, with the ability to translate complex technical topics into clear executive summaries.
- High proficiency in Microsoft Office Suite (PowerPoint, Excel, Outlook, Word); experience with collaboration tools such as Teams and SharePoint a plus.
- Strong interpersonal skills with the ability to build relationships across technical and non‑technical teams.
- Demonstrated discretion with confidential or sensitive information.
- Proactive problem‑solver with a strong sense of ownership and attention to detail.
- Ability to work independently and stay flexible in a rapidly shifting environment.
- Strong project management skills with experience coordinating cross‑functional initiatives.
