Team Summary
The Asia Pacific Corporate Communications function plays a critical role in driving Visa’s business growth by advancing and protecting Visa’s reputation across the region. The team focuses on storytelling, thought leadership and content development that supports revenue growth across Visa’s growth pillars, while also delivering proactive and defensive strategies to protect Visa’s brand and business. Corporate Communications also plays a key role in driving Visa’s culture and building understanding of Visa’s business strategy across Asia Pacific.
Role Overview
This role goes beyond traditional executive administration. While providing high‑quality administrative support to a senior leader, the Executive Administrator plays a critical operational role for the AP Corporate Communications team, with primary responsibility for procurement, invoicing, purchase orders, requisitions and budget tracking.
Success in this role requires strong attention to detail, comfort navigating complex enterprise systems and processes, and the learning agility to quickly build fluency across Visa’s tools, policies and ways of working. A positive, proactive mindset and a strong sense of ownership are essential, as this role operates within a small, highly collaborative team where everyone contributes to team culture.
The role is based at Visa’s Robinson Road office in Singapore and provides direct administrative support to the SVP, Head of Corporate Communications, Asia Pacific, as well as indirect support to leadership team members and their teams.
This individual contributor role handles information of a highly confidential nature and requires a solid foundation in administrative and operational support, with scope to build deeper expertise in systems, processes and stakeholder management. The role receives a moderate level of guidance and supervision.
Executive & Team Support
- Provide direct administrative support to the SVP, including complex calendar management, scheduling across time zones, and flawless global travel planning (including visa applications).
- Act as a trusted first point of contact, liaison and problem solver for the senior leader, exercising sound judgement and discretion.
- Support leadership and all‑staff meetings, including logistics, agendas, materials, onsite support and follow‑up actions.
- Prepare meeting materials, including assisting with presentations and related documentation, manage printing, binding and collation as required.
- Coordinate conference and meeting room set‑ups, catering and other logistical arrangements.
Operational & Financial Administration
- Own end‑to‑end procurement activities, including purchase orders, invoicing, accruals and monthly budget tracking, partner closely with Finance and Accounting to ensure accuracy and timeliness.
- Navigate and apply Visa’s enterprise systems, policies and approval workflows with rigour, continuously build expertise as processes evolve.
- Provide guidance to team members on purchasing, expense reporting, travel policy and accounts payable processes.
- Maintain Business Continuity Management contact information and support related operational requirements.
Team & Culture Contribution

- Build effective working relationships across all levels of the organisation and with external partners.
- Coordinate with other administrative professionals across functions and regions on shared initiatives and projects.

This role requires off‑hours responsiveness at times, particularly when supporting leaders operating across different time zones.

Qualifications
We are looking for an individual who takes great pride in being an Executive Administrator, someone who is highly efficient, proactive, results-driven and client focused. As a candidate, you should have:
- Bachelor’s Degree or equivalent qualification.
- At least 5+ years of relevant office management experience in an MNC environment supporting a team size of over 30 employees.
- Highly proficient in organising domestic and international travel arrangements, demonstrates flexibility and problem-solving abilities to adjust or prioritise schedules based on last minute changes.
- Ability to maintain professionalism and confidentiality at all times when dealing with sensitive information and business matters, in any written or verbal communication.
- Ability to operate effectively and efficiently in a challenging, fast-paced environment with little supervision.
- Demonstrated strength in multi-tasking and prioritising work with a strong attention to detail
- Effective planning, organisational and written and verbal communication skills.
- Advanced proficiency in Microsoft Office and demonstrated strength in developing complex PowerPoint presentations.
- Customer service-focused with ability to work collaboratively with others including interacting with internal and external contacts.
- Proactive, agile and solution oriented, always looking for ways to add value and assist the team.
