Job Details
Job Description We are looking for an enthusiastic, skilled Legal Assistant to support our Law Department team for the EMENA region at our European Headquarters in Oegstgeest, The Netherlands. You will play a crucial role in ensuring the Law Department can continue to provide high quality Legal services & advice to the business across the many countries in which we operate. In this role you will report directly to Vice President & Associate General Counsel EMENA. Core responsibilities:
- Providing high-quality and timely administrative and secretarial support to the Law Department for the EMENA region, including calendar management, arranging all aspects of travel, expense reimbursement, invoice management and archiving.
- Working closely with the Legal Operations Team to help manage the Global Law Department budgeting process and EMENA team regional budget.
- Supporting the team's spend and matter management processes which includes:
- Matter creation for all attorneys
- Onboarding vendors into AP systems
- Invoice and budget management; ensure that vendors adhere to the Outside Counsel Guidelines
- Completing Brightflag administrative training and managing Brightflag e-billing system for the region
- Working closely with the Legal Operations team to ensure processes are followed in the region
- Working with finance teams directly to resolve invoice payment issues
- Assisting with corporate secretarial work, for example arranging drafts and signatures for powers of attorney, financial statements and connecting with the Company’s corporate secretarial provider.
- Coordinating the legalization and authentication of documents with foreign consulates.
- Demonstrated success in providing administrative/secretarial support to Legal Executives in an international, high demand environment:
- Consistent eye for detail and high standards for all work output
- Excellent organizational and communicative skills (spoken as well as written)
- Trustworthy and ethical: Ability to keep all matters handled and information received in the strictest confidence
- Ability to independently manage and prioritize workload and projects
- Ability to work with the Global Law Department and other functions
- Excellent computer skills: proficiency in Gsuite (Google Calendar, Gmail & Google sheets/docs/slides), Microsoft Office (Word, Excel, Powerpoint), document management systems, and Brightflag/other electronic counsel billing portals.
- Fluency in English (spoken as well as written)
