The Ancillary Support Specialist ensures smooth operations of ancillary services in our clinic. Responsibilities include providing administrative support to laboratory and diagnostic imaging departments, facilitating communication between patients, healthcare providers, and administrative staff. Duties encompass greeting patients, managing appointments, processing paperwork, maintaining accurate records, and collaborating with clinical staff. This role is ideal for proactive individuals passionate about healthcare administration and committed to delivering exceptional patient care.

Schedule: Monday-Friday, 7:30am-4:30pm

Location: 2901 174th St. NE, Marysville, WA 98271

  •       Greet patients arriving promptly and professionally, ensuring a welcoming environment
  •        Efficiently check-in patients using the Electronic Health Record (EHR) and Laboratory Information System (LIS), verifying, and updating demographics and insurance information
  •        Distribute appropriate imaging screening and consent forms, facilitating the patient intake process
  •        Assist with the EHR patient portal activation, provide excuse letters, and manage interpreter check-in/out, addressing diverse patient needs
  •        Adhere to reception standard of work (SOW) guidelines and problem-solve efficiently to resolve any issues
  •        Locate missing lab orders and/or specimens promptly to maintain operational efficiency
  •        Demonstrate competent and efficient phone skills, handling patient inquiries and scheduling needs with professionalism
  •        Provide imaging Release of Information to patients, including CD burning and forms processing, ensuring compliance with privacy regulations
  •        Offer limited scheduling support, including follow-up exams and rescheduling for patients
  •        Provide general administrative support to laboratory and diagnostic imaging teammates on-site as needed
  •        Offer clear and concise collection instructions to lab patients, promoting accurate specimen collection
  •        Maintain a safe and healthy work environment by adhering to safety regulations and properly disposing of bio-hazardous materials

  •        Complete all compliance training, including but not limited to HIPAA/Privacy/Confidentiality/Non-Discrimination/Harassment/Integrity Statement and signed Agreements
  •        Ensures confidentiality of patient information by following HIPAA guidelines and organization policies
  •        Attends training to meet job position requirements and as needed or mandated by organization policies, Div. of Occupational Safety & Health (DOSH), OSHA, L&I, and other state/federal regulations
  •        Have regular and predictable attendance

Required Qualifications:

  • High School Diploma/GED (or higher) 
  • BLS certification or willing and able to obtain certification within first 30 days of employment
  • 1+ year(s) of reception experience or experience as a patient service representative
  • 1+ year(s) of experience with basic computer software 

Preferred Qualifications:

  • Previous lab experience
  • Prior experience in a healthcare or clinical setting is preferred
  • Familiarity with medical terminology and electronic health record systems is advantageous
  • Candidates with customer service experience and proficiency in administrative tasks will be considered

Knowledge, Skills & Abilities: 

  • Knowledge: Possess a working knowledge of medical terminology, diagnostic procedures, and healthcare regulations relevant to ancillary services. Familiarity with electronic health record systems is preferred. Understanding of HIPAA regulations and patient confidentiality standards is essential. Additionally, knowledge of safety protocols for handling bio-hazardous materials and maintaining a safe work environment is required
  • Skill:  Demonstrate excellent interpersonal skills, with the ability to communicate effectively with patients, healthcare providers, and administrative staff. Proficiency in multitasking and prioritizing tasks in a fast-paced clinical environment is essential. Strong organizational skills are necessary for maintaining accurate patient records and coordinating ancillary services efficiently. Competency in computer skills, including data entry and navigation of software applications, is also required
  • Ability: Exhibit adaptability and problem-solving abilities to address diverse patient needs and operational challenges effectively. Possess the capacity to work collaboratively in a team-oriented environment, contributing to a positive work culture. Ability to maintain composure and professionalism in high-pressure situations and handle patient inquiries with empathy and tact. Demonstrated ability to learn and apply new skills quickly, staying updated on industry best practices and emerging trends in healthcare administration

Washington Residents Only: The hourly range for Washington residents is $16.00 to $28.27 per hour. Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. UnitedHealth Group complies with all minimum wage laws as applicable. In addition to your salary, UnitedHealth Group offers benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements).
