Job Description

The main responsibilities would be,

  • Organizing GM’s calendar & meeting schedules by optimizing time use with a focus on key meetings and events

  • Managing emails, ensuring efficient communication within BDLT and with stakeholders

  • Coordinating seamless business trips: smooth travel, managing flights, accommodations, and transportation

  • Managing Expats & their families by assisting with legal and administrative matters, including visa processes, work permits, and other documentation requires

  • Coordinating & negotiating with five star & other hotels for accommodation purposes, for meeting spaces, catering, and ensuring the best & cost effective quotation

  • Ensuring better performance by the team service staffs

  • Ensuring proper use of office stationeries & other logistics

  • Arranging weekly meeting with the team service staffs to ensure smooth workflow & proper maintenance of the office premises

  • Establishing a feedback loop where employees can provide input on the work environment, enabling continuous improvement and responsiveness to evolving needs.

  • Coordinating other logistics for meetings & events (like, venue allocation, catering support, and transportation support)

  • Efficiently allocating and managing budgets for various meetings & conferences logistics by managing Petty Cash.

  • Prioritizing and executing specific requirements for VIP visits (like specific food preferences & food avoidances, making sure of smooth airport transfers, adhering to standard infection control, appropriate safeguarding and fire safety procedures within the office)

 


Qualifications

This position requires a detailed understanding of the Office administration. The candidate should have:

  • Graduate/Post Graduate with minimum 2-5 years of experience in Coordinator role. 
  • Working experience in a MNC a must. 
  • Should be a computer literate and should be good in MS Office.
  • Pleasant Personality - Neat, tidy, groomed presentably.
  • Good interpersonal and communication skills.
  • Initiative, independent and mature.
  • Possesses high level of integrity and confidentiality.
  • Customer focus, Flexible & Punctual.
