The opportunity
Are you a highly organized and internationally minded professional looking for a dynamic role in a global setting? We are seeking an Executive Assistant to support five Function BU Leaders in our BU Grid integration.
This position requires someone who can effectively prioritize tasks and manage multiple responsibilities within an international and collaborative environment.
How you’ll make an impact
Coordinate and book travel arrangements for 5 Function BU Leaders, ensuring smooth and efficient travel plans
Manage the calendars of the BU Leaders, schedule meetings, and book rooms at the Zurich HQ, ensuring all logistics are handled seamlessly
Plan and execute workshops, including liaising with local suppliers, arranging catering, sending invitations, and ensuring all details are covered for successful events
Provide administrative support for face to face and virtual meetings, including preparing materials, taking minutes, and following up on action items
Manage and protect sensitive business and personnel information with the utmost confidentiality and discretion
Your background
Proven experience in planning and executing events, with a keen eye for detail and the ability to manage multiple tasks simultaneously
Excellent verbal and written communication skills, with the ability to interact effectively with stakeholders at all levels
Strong organizational skills, with the ability to plan and prioritize tasks to meet deadlines
Experience in managing relationships with various stakeholders, ensuring their needs are met and expectations are managed
Demonstrated ability to handle confidential information with discretion and professionalism
A solid track record of experience in a similar role, providing high-level administrative support
Proficiency in English is required, and knowledge of German is desirable
