Job Description
We are seeking a Associate Legal Specialist with at least 5 years of multinational experience to support the LAC Legal Department with budget management and administrative support including contract management and translation review of legal documents.
- Support budget management, including keeping track of ongoing spend, developing periodic reports, timely alerting of unusual spend trends or developments with the budget, and supporting development of annual budget and periodic adjustments.
- Assist with law firms invoice management, including being principal point of contact with billing departments, ensuring invoices are timely received, reviewed, approved, and paid, and liaising to resolve billing disputes.
- Support legal counsels with first review and proof reading of simple agreements and other legal documents and with general contract management support, including management of repository for templates, forms and other documents.
- General administrative support for the LAC Legal Department, including development of presentations, intranet page content and spreadsheets.
- Procure document notarizations and apostilles.
This is a hybrid position. Expectation of days in office will be confirmed by your hiring manager.
Qualifications
Advanced proficiency in software applications to include MS Word, Excel, PowerPoint, and Outlook
Outstanding English and Spanish speaking and writing skills Portuguese a plus)
Familiarity with document and records management systems and legal fees invoicing platforms (e.g.. Counsellink, Ironclad SharePoint, Teams, etc.)
Strong organizational skills and meticulous attention to detail are essential.
Ability to exercise good judgment, common sense and initiative.
Ability to identify and resolve problems in a timely manner by gathering and analyzing information and maintaining confidentiality
Ability to multitask and manage a heavy workload and priorities effectively, and meet deadlines in a fast paced environment.
Flexibility and willingness to perform a variety of tasks and take direction with equanimity.
Excellent follow through on projects and the ability to anticipate and spot potential issues.
Must be able to operate independently with minimal supervision
Office Manager, Bachelor degree or equivalent and a minimum of 4 years of administrative experience working with attorneys or executives and management. Large law firm or legal department of public company experience a plus.
