We’re seeking someone to join our team as an Administrative Assistant, Operation Division.
In the Operations division, we partner with business units across the Firm to support financial transactions, devise and implement effective controls and develop client relationships, driving strategic automation solutions by embracing a transformation mindset and challenging the status quo.

What you’ll do in the role:
• Provide secretarial / administrative support to Japan Operations.
• Deliver direct support to Managing Directors (MDs) and Executive Directors (EDs).
• Provide administrative support in the benefit of the department across 2 offices Tokyo and Osaka.
• The secretarial role will include but not limited to Calendar management, schedule management, coordinate conference room reservations, schedule meetings, luncheons inclusive of catering and multi-media requirements, arrange domestic and international travel, expenses processing, manage inventory of office supplies, moves and changes, reporting, projects etc., general office tasks, including filing, copying, data entry, maintain Organizational Charts
What you’ll bring to the role:

• Proactively provide support for MDs and EDs over and above day to day tasks.
• Identifies areas for improvement and suggests solutions.
• Excellent organization skills and good communicator
• Excellent time/priority management skills
• Good use of initiative, judgement and decision making
• Flexible and adaptable to change Educational Requirements
• MS standard requirements
• Word/PowerPoint/Excel/Outlook/TEAMS
• Proven work experience (3 or more years)
• Creation of word documents, excel spreadsheets & databases and presentations/reports.
• Formatting of word documents, if necessary importing data
