DESCRIPTION
The Port Hedland Administration Assistant role provides essential operational and administrative support to the branch.
This role is the ‘Face of the Company’ and comes with a wide scope of opportunities to showcase your administration skills. You will manage the reception area and be highly organised to remain across all components of the role.
This role is ideally suited to standard business hours, with a preferred working hours of 7.6 hours per day. We understand the importance of flexibility and are open to accommodating adjusted start and finish times (such as school drop‑offs and pick‑ups) for the right candidate. Our focus is on reliability, continuity, and team support rather than rigid hours.
This is a fully onsite role.
In this role, you will make an impact in the following ways:
- Answering incoming calls and distribution of daily mail
- Manage FIFO logistics for approximately 80% of the workforce, including travel approvals, flight bookings and amendments, and FIFO housing administration (cleaning coordination, maintenance requests, and leasing).
- Support various reporting requirements, generating purchase orders and Invoicing tasks
- Collate and maintain information in centralised databases
- Supporting the payroll function for the branch
- Maintaining the reception area, greeting visitors and following induction processes
- Office management tasks including stationary and consumable management
- Interacting with a wide range of internal and external stakeholders
- Coordination of events such as training, meetings and catering requirements
- Accounts Payable processing, PO receipting, invoice management (direct and indirect), timesheet entry, payroll support
