The Team Administrator is responsible for providing executive assistant support for Financial Advisor(s) (FAs)/ Private Wealth Advisor(s) (PWAs)/ teams, including responsibilities such as phone coverage, calendar management and expense processing. A successful candidate for this role will be a highly organized individual with strong attention to detail and the ability to multi-task.
Responsibilities
- Scheduling travel arrangements in preparation for all on and off-site meetings, conferences, presentations and sales events
- Maintaining managers’ office calendar and all scheduling; planning and preparation for extensive sales meetings
- Supporting all MSIM marketing initiatives; including coordination and dissemination of sales reports and outgoing email campaigns
- Maintaining and monitoring expense reports and check requests
Support sales team as needed - Providing telephone coverage, including responding to inquiries, properly routing calls, and taking detailed messages. Use of good judgment with both internal and external clients
- Reviewing and prioritizing incoming mail and taking appropriate action
- Ensuring proper flow of information, pursuing detailed follow-through, as necessary
- Involvement in special projects as needed
- Performing related duties as assigned
QUALIFICATIONS
Technical Skills
- Proficient use of Microsoft Word and Power Point
- Solid understanding of Microsoft Excel and a familiarity with spreadsheet formulas
- Knowledge of database usage
Requirements
- Prior administrative experience in a sales group essential, 3-7years
- Financial Services experience preferred
- Flexible attitude with the willingness to take on new projects
- Highly service-oriented individual with the ability to work well as part of a team
- Strong organizational skills, ability to manage multiple priorities, and ability to take independent initiative for action within areas of responsibility
- Excellent written, verbal and interpersonal communication skills

Expected base pay rates for the role will be between $34,320 and $90,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
