Senior Executive Assistant Provides administrative support to senior leaders, executive officers, the CEO or President. What you'll do:
- Responds to multiple complex information requests, providing guidance to others and ensuring the appropriate information is delivered to the right recipient(s)
- Coaches EAs and AAs on compliance with current information storage, archiving and disposal protocols and processes
- Understands and complies with protocols and processes and uses appropriate tools for filing, archiving or disposing of information after distributing it
- Leads planning for team events both onsite and offsite teams including catering, room setup, managing expenses, and room planning
- Consistently displays an outstanding degree of involvement and engagement
- Ensures there is coverage during absence. Provides coverage for peers when absent
- Balances several projects and tasks simultaneously with minimal error while meeting urgent deadlines, remaining organized and focused in a multi-dynamic environment
- Considers all stakeholders' time commitments in creating schedules and planning meetings
- Tracks deadlines of multiple workstreams and follows up with team members to ensure deadlines are successfully met
- Drives time management for the executive(s) by ensuring focus on strategic business initiatives
- Drafts sensitive correspondence and documents for and on behalf of executive
- Participates in preparation for key meetings, preparing papers and taking minutes and following up actions as required
- Conserves executive's time by pre-viewing, researching, and routing correspondence
- Attends offsite meetings and takes notes
- Manages and maintains calendars; takes a proactive forward planning approach to diary management
- Keeps ahead of potential scheduling conflicts; using initiative to find solutions and communicate changes in a timely manner
- Arranges travel, books accommodation, proactively informs travel and expense policies
- Manages group calendar for team
- Builds relationships at all levels across the business and with external contacts
- Uses good judgement and common sense to handle sensitive information
- Knows and uses formal and informal channels to achieve faster work results for the team
- Processes expenses, handles vendor set-up and corporate credit card reconciliation
- Handles vendor set up and invoicing for suppliers not paid through credit card
- Tracks use of discretionary budget for supported departments and ensures others report and submit expenses in a timely manner
- Alerts leader to exceptions or risks of budget overrun
- Bachelor's or Master's degree in a related technical field; or equivalent related professional experience
