We are seeking a highly motivated and detail-oriented Executive Assistant to support multiple Managing Directors in our Human Resources department. This associate-level position in Montreal is critical in ensuring smooth operations, seamless communication, and coordination across the organization. The ideal candidate will be a proactive problem-solver with exceptional organizational and communication skills.

Key Responsibilities:
• Calendar Management:
o Manage and prioritize complex calendars for multiple Managing Directors.
o Coordinate meetings and calls with senior leaders across different time zones globally.
o Proactively anticipate scheduling conflicts and provide solutions.
• Travel Arrangements and Expense Management:
o Coordinate domestic and international travel through the firm’s internal booking platform, ensuring compliance with company policies.
o Prepare detailed itineraries and manage last-minute changes.
o Process expense reimbursements and expense reports using Concur accurately and efficiently.
• Event Coordination:
o Organize and manage logistics for internal town halls, external speaker events, and global team meetings.
o Collaborate with stakeholders to ensure the successful execution of events.
• Onboarding Support:
o Assist with onboarding new team members across various global locations.
o Coordinate training schedules and ensure necessary resources are in place.
• Administrative Support:
o Handle confidential information with discretion.
o Draft and edit correspondence, presentations, and reports.
o Maintain accurate records and filing systems.
Qualifications:
• Minimum of 6 + years in an executive assistant or administrative role supporting senior leadership.
• Bachelor’s degree preferred
• Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).
• Experience with Concur for expense management, including reimbursement and expense reporting, is required.
• Exceptional organizational, communication, and multitasking abilities. Ability to work under pressure in a fast-paced environment.
