What You Will DoThe Specialist, Professional Affairs is responsible for leading the full contract process for HCP and medical education events across multiple countries in LATAM. This role ensures operational efficiency, cost-effectiveness, and high service levels while maintaining compliance with company policies and regulatory requirements. Collaboration with internal stakeholders and continuous process improvement are key aspects of this position:
- Schedule and facilitate monthly meetings with the Marketing/Events team to ensure seamless coordination and communication, addressing any upcoming needs or issues.
- Ensure contracts are stored efficiently and in compliance with GDPR regulations, maintaining organized and accessible records for easy retrieval and audit purposes.
- Conduct regular meetings with the Manager and PA Team to balance workload, optimize capacity, and address any operational challenges, ensuring all team members are aligned with current objectives.
- Regularly review and update processes to ensure compliance with evolving regulations and policies, implementing necessary changes promptly to maintain adherence and minimize risks.
- Collaborate with event coordinators for effective Faculty Management, ensuring all logistical and contractual needs are met, and providing support for any issues that arise during event planning and execution.
- Lead the full contract process for HCP and medical education events, including collecting documentation from KOLs, working on contract elaboration, and ensuring all necessary approvals are obtained.
- Fill and upload compliance forms, send them to HCPs, and create contract events based on received scientific information, ensuring all details are accurate and complete.
- Review invoices post-event to ensure alignment with the pre-established budget, and communicate with the invoicing team to initiate the payment process, verifying that all financial transactions are accurate and timely.
What you need:Required:
- Bachelor’s Degree
- Advanced English, Spanish, and Portuguese skills
- Previous experience in Big4 Companies (Consultant firms), Banks, Auditing companies, or Compliance positions

- Previous experience in contract review positions
